Job Requirements

  • High school diploma
  • 2+ years of experience in event planning
  • Event set-up and tear-down experience preferred
  • Ability to independently manage multiple tasks and projects
  • Ability to communicate effectively with colleagues, internally and externally
  • Ability to lift 50 pounds
  • Ability to climb stairs and stand for extended periods
  • Excellent verbal and written communication skills

Job Qualifications

  • High school diploma
  • 2-4 years of event coordination experience
  • Strong interpersonal and communication skills
  • Extremely strong organizational skills and ability to manage crises
  • Experience independently managing multiple tasks and projects and meeting deadlines
  • Ability to communicate effectively with colleagues internally and externally
  • Excellent verbal and written communication skills

Job Duties

  • Support all operations related to events scheduled through the Facilities Department including internal and external rental events
  • Develop floorplans
  • Oversee set-up and tear-down of events
  • Process event requests
  • Maintain event equipment inventory
  • Manage on-site event operations including nights and weekends as necessary
  • Coordinate equipment and furniture rentals
  • Assist in managing event scheduling software
  • Provide excellent customer service and professionalism when interacting with clients, vendors, and internal partners
  • Work with the Event Services Manager to schedule front of house staffing, parking services, custodial, security and police
  • Facilitate communication between clients and internal service providers such as orchestra operations, stage labor, AV and tech support, marketing, ticketing, print and digital event collateral, database management including RSVPs, Indulge Catering, menu development, and bar services
  • Coordinate with outside vendors for load-in, power, and load-out requirements
  • Perform other duties as assigned by the Director of Events
