We are currently seeking an experienced Event Coordinator to join our dynamic team remotely within the Northeast region. This role requires regular travel to execute various events across multiple locations. The Event Coordinator will spearhead the development, management, and execution of a broad range of events including field, regional, and national engagements, encompassing both live and virtual settings as applicable. This position plays a critical role within Telarus, collaborating cross-functionally with marketing, sales teams, and other internal departments to ensure seamless event delivery that nurtures and strengthens relationships with Telarus agents and partners.
The Event Coordinator will manage multiple facets of event planning from organization and vendor management to budget adherence and registration processes. By partnering with sales leadership and marketing units, the coordinator will provide strategic guidance and operational support to maximize event engagement and return on investment. This individual will also be responsible for sourcing venues, speakers, accommodations, food and beverage options, and other necessary event components. They will coordinate site inspections and negotiate vendor contracts to ensure optimal quality and value.
Additionally, the role encompasses vendor management duties including contract negotiation and management of services such as audio-visual, transportation, entertainment, and sporting facilities. Event registration management is another crucial responsibility, involving virtual registration setups via tools like Zoom and RingCentral, alongside onsite registrations managed through platforms such as Cvent. Collaboration with sales teams to manage invitee lists and maintain detailed registration reports is key to delivering a successful event experience.
Budget management is a pivotal aspect of this role. The Event Coordinator will be responsible for creating, communicating, managing, and reconciling event budgets. They will work closely with marketing sponsorship coordinators to secure sponsorships and assist with financial documentation, purchase orders, and invoice processing. An understanding of financial performance and ability to justify the event marketing plan's impact and ROI is essential for this position.
The role also involves graphic and material management where the coordinator will liaise with contractors for the creation and distribution of event-related graphics, signage, workbooks, and digital presentations. Relationship management extends internally and externally to guarantee alignment on event objectives and sponsorship support. Due to the extensive travel required—often one week or more each month—this position suits a highly motivated and organized individual with the capacity to manage multiple events while balancing competing priorities.

Job Requirements
- reside in Northeast region
- 2+ years experience in event management
- 1+ years B2B experience preferably in channel business or enterprise and SMB focused B2B software/services
- ability to manage sponsor recruitment and MDF for event programs
- proven ability to collaborate with sales teams
- excellent written and oral communication skills

- availability for travel one week or more per month

Job Duties
