Job Description

Our client is a distinguished lifestyle boutique hotel located in Louisville, Kentucky, celebrated for its unique blend of comfort, sophistication, and personalized service. This establishment is renowned for offering an intimate and memorable guest experience, combining stylish accommodations with exceptional hospitality standards. Designed to cater to both leisure and business travelers, the hotel provides an inviting atmosphere that reflects the vibrant culture and charm of Louisville. Its dedication to quality service and attention to detail makes it a favored destination for events ranging from corporate meetings to social celebrations.

The lifestyle boutique hotel is currently seeking an experienced and service-focused Event Manager / Convention Services Manager. This pivotal role entails comprehensive oversight of the planning, coordination, and flawless execution of meetings, conventions, and special events held within the hotel premises. The Event Manager will act as the primary liaison between clients and hotel operations once an event booking is confirmed, ensuring seamless communication and a smooth event experience.

In this role, the Event Manager / Convention Services Manager will be responsible for managing all phases of event service delivery, from initial post-sales client contact through to event execution and follow-up. The individual will coordinate with multiple departments, including banquet, culinary, audiovisual, housekeeping, and front office teams, to maintain the highest standards of service and client satisfaction. Expert organizational skills, a strong hospitality focus, and the ability to multitask in a fast-paced environment are critical for success in this position.

The responsibilities include creating and distributing detailed Banquet Event Orders (BEOs) to all relevant departments, conducting pre-convention meetings with clients to review timelines and expectations, and overseeing onsite event execution to ensure all setups and service deliveries meet the hotel’s standards. The Event Manager must respond promptly to client requests and resolve any issues to guarantee a positive guest experience. Operational coordination involves collaborating with sales and operations teams, performing site inspections with clients, and supervising event setups and breakdowns.

This role also includes financial and administrative duties such as assisting with contract review, budget monitoring, final billing, event revenue tracking, and maintaining accurate event records within the hotel's event management system. The ideal candidate will possess 3 to 5 plus years of experience in hotel event management or banquet operations, strong project management abilities, and excellent communication skills. Flexibility to work during evenings, weekends, and holidays according to event schedules is essential.

Preferred experience includes working in a full-service or convention hotel environment and familiarity with event management software or property management systems (PMS). Candidates should demonstrate a calm and solutions-oriented approach under pressure, passion for hospitality, and a talent for building lasting client relationships. This is an excellent opportunity for a dedicated professional seeking to advance their career in a dynamic boutique hospitality setting.
