The role available is an Event Planner and Coordinator position that focuses on planning, organizing, and supporting United Way events, trainings, and conferences. This role operates both independently and collaboratively with the Senior Director of Events & Engagement to ensure successful event execution. Responsibilities encompass managing approximately 75% of the time dedicated to event and conference planning and coordination, including all logistics such as invitations, rentals, catering, materials, agendas, and speaker coordination, along with on-the-day event management. Additionally, the role provides general administrative support related to marketing and communications for roughly 15% of the time, handling data management, photo and video organization, sponsorship tracking, and staff event assistance. This position requires in-person presence at the Allentown, PA office and event sites at least four days a week, with the flexibility to work evenings and weekends as needed to support various community initiatives.

Job Requirements

  • 2 or more years of professional work experience in event production and/or marketing and communications
  • Relevant education considered in lieu of some work experience
  • Ability to work in person at Allentown, PA office and nearby event sites at least 4 days a week
  • Availability to work several planned evenings and weekends each month
  • Ability to travel to Lehigh, Northampton and Carbon counties as needed
  • Ability to load and unload vehicle with event items weighing up to 30 lbs and assist with setup and breakdown
  • Not a family member of a current UWGLV employee or board member

Job Qualifications

  • 2 or more years of professional work experience in event production or marketing and communications
  • Demonstrated ability to independently produce events
  • Familiarity with event spaces and logistics in the Greater Lehigh Valley
  • Strong organizational and communication skills
  • Ability to work collaboratively in a team environment
  • Flexibility to work evenings and weekends
  • Valid driver’s license and reliable transportation

Job Duties

  • Manage events, trainings and conferences
  • Provide event planning and day-of coordination for organization events
  • Collaborate with Staff Lead to create event goals, budget and key audiences
  • Prep event logistics including invitations, rentals, catering, materials, agendas, speakers and day of management
  • Conduct event debrief meetings and create recap posts for social media
  • Support Director, Events and Engagement as needed with all events
  • Provide general marketing and communications administrative support
