The Events Coordinator I plays a crucial role in cultivating vibrant community connections among residents through the planning and execution of events and programs. In this capacity, you will be responsible for creating memorable experiences that foster a sense of unity and enjoyment for families and individuals alike. Your role is integral to delivering high-quality events from inception through completion, requiring a combination of creativity, organization, and logistical prowess. Key responsibilities include comprehensive event planning encompassing design, coordination, and post-event evaluation. You will manage multiple concurrent events, ensuring adherence to timelines, production schedules, and risk management procedures. Event production involves onsite execution, team coordination, set-up, hosting, and tear down. Budget oversight is a key aspect, including processing invoices and managing vendor contracts aligned with assigned budgets. Collaboration is essential, also requiring support for district teams and marketing coordination to effectively promote events through various channels including social media, email, and printed materials.
Moreover, this role involves partnership coordination with military-related organizations and businesses to enhance program offerings and sponsorship opportunities that directly benefit residents. Accurate record-keeping and compliance with OSHA safety regulations, local laws, fair housing guidelines, and company policies are paramount. Job Requirements
- Minimum 1-2 years of experience in event planning or related field
- Solid computer skills including proficiency in Microsoft Office
- Effective communication skills both written and verbal
- Strong organizational and strategic planning abilities
- Ability to work in fast-paced environments and manage multiple projects simultaneously
- Valid driver's license
- Ability to lift up to 50 pounds
- Willingness to work flexible hours including evenings and weekends
- Ability to travel regionally
- Must comply with OSHA safety regulations and local laws

Job Qualifications
- Event planning experience
- Experience in recreation, hospitality, marketing, communication or related fields preferred
- Proficiency in Microsoft Office
- Familiarity with website content management systems preferred
- Knowledge of Google applications including Gmail
- Experience with social media platforms
- Graphic design software skills preferred including Adobe, Publisher, Photoshop, and InDesign
- Effective written and verbal communication skills

Job Duties
- Event planning - develop and coordinate all phases of the event planning process (research, design, planning, coordination, and evaluation) with delivering quality and creative events
- Event management - ability to manage and execute multiple events simultaneously including timelines, production schedules, risk assessment, creative design, vendor/venue management, event team coordination, and logistics management
- Event production coordination - responsible for executing on and off site events including event team coordination, event set-up, day of hosting, event and risk brief, managing logistics throughout the event, and event tear down
- Budgets and contracts - oversee, review, and process assigned accounting and financial matters based on assigned event budgets including processing invoices in Payscan, MEC's/IEC's, PAF's, PO's, requesting quotes from vendors
- District support - support District Teams within the event planning process to ensure the success of the event experience and entire planning process
- Marketing coordination - develop, design, and create effective and comprehensive marketing plans and materials to market events and programs including flyers, website content, social media content, newsletters, banners, posters, email, event photography, event registration management
- Partnership coordination - collaborate with like-minded military organizations, agencies and businesses on partnership and/or sponsorship opportunities to meet the needs of the residents through programming, events and other resident events
