Job Description

Lehigh Valley Zoological Society is a non-profit organization founded in 2004 with a mission to connect its community with nature and empower people to protect wildlife. Located in the Lehigh Valley region, the Society operates the Lehigh Valley Zoo which engages the public through a range of educational programs, conservation initiatives, and community events. The role of the Events Coordinator (EC) at Lehigh Valley Zoo is a crucial position responsible for the planning, implementation, and execution of all zoo-related events including signature events, promotions, and rental activities. The Events Coordinator works closely with the Communications and Events Lead (CEL) and other department heads to develop a comprehensive annual event calendar aimed at increasing attendance, enhancing guest satisfaction, and promoting the zoo’s mission. This position requires a highly organized and detail-oriented professional capable of managing multiple tasks concurrently and adept in fostering collaboration across different teams within the organization.

The EC will play an active role in coordinating event logistics, from securing necessary materials and vendors to marketing event promotions alongside the marketing team. Additionally, this role involves managing rental requests for the zoo facilities, converting inquiries into confirmed bookings by meeting with clients, finalizing rental contracts, and ensuring smooth event execution on-site. The successful candidate must exhibit leadership qualities and strategic thinking, able to proactively address challenges, and respond effectively to guest feedback during events.

The Events Coordinator position offers a dynamic work environment with opportunities to contribute creatively to the growth of the zoo’s event programs. Job Qualifications

Job Duties

  • Collaborate with Communications and Events Lead and department heads to create the zoo's annual schedule of events and promotions
  • Conduct weekly and monthly event meetings with department directors for broader planning and advance notice
  • Work with the marketing team to develop all event collateral, posts, and signage to ensure successful event marketing
  • Obtain essential materials, props, decorations, and vendors for event execution
  • Collaborate with Volunteer Coordinator and Operations department to ensure proper staffing and guide staff from setup to cleanup
  • Collaborate with Operations department for event setup
  • Research and develop creative ideas for new or enhanced special events and promotions
  • Convert rental inquiries into bookings by meeting with contacts, finalizing contracts and executing events
  • Handle onsite guest and client feedback professionally
  • Maintain familiarity with the zoo's history, mission, current accomplishments, and future goals
  • Perform other duties as assigned
