The Events Coordinator role at Aledade is an essential position located at the company’s Bethesda, Maryland headquarters. This full-time position requires the candidate to live in Bethesda or nearby areas and work primarily on-site, with rare hybrid work weeks. The Events Coordinator will be responsible for planning, coordinating, and executing a variety of Aledade team events including the biannual Aledade All Staff Retreat, offsite team events, customer-facing functions, and multiple events hosted at Aledade's HQ. The coordinator will serve as a critical liaison connecting internal stakeholders and external vendors, navigating competing priorities to deliver seamless and memorable event experiences.
This position demands a proactive and detail-oriented professional with a strong organizational acumen and experience managing event logistics. The coordinator will oversee tasks such as setting up registration processes, designing name badges, ordering and managing swag, coordinating catering, and managing event setup and teardown. The role also involves advising team members on event protocols and collaborating cross-functionally to drive projects that support different facets of the organization’s mission. Flexibility to work across various time zones and occasional non-traditional working hours is required, as is the ability to travel up to 15% during peak event seasons.
The ideal candidate will have a bachelor’s degree or equivalent experience, with at least three years of direct event management experience within corporate or nonprofit environments. Mastery of CVENT event management software is crucial, particularly skills in registration setup, attendee management, venue sourcing, and post-event data analysis. Aledade seeks an individual with superior communication skills, strong problem-solving capabilities, and the capacity to work autonomously while remaining a collaborative team player. Physical demands include the ability to stand and move for extended periods, lift and carry up to 25 pounds, and occasionally handle event setup involving furniture and use of ladders.

Job Requirements
- Bachelor’s degree or equivalent work experience
- Minimum 3 years of direct event management experience
- Availability to work across various time zones and non-traditional hours
- Residency in Bethesda, Maryland or surrounding areas
- Ability to work full time in-office with rare hybrid weeks
- Ability to travel up to 15%

Job Duties
- Coordinates the planning of various Aledade events throughout the year including many events at Aledade’s HQ in Bethesda, MD, the biannual All Staff Retreat, and other offsite team and customer facing events
- Develops and executes against a range of tasks in the project plans and provides updates to the planning team, business units, and stakeholders
- Owns a range of logistical duties to ensure events run smoothly, such as setting up registration processes, designing name badges, selecting and ordering swag items, setting up and breaking down pre and post event, coordinating catering, and much more
- Advises Aledade team members on standard protocol and recommended action steps when creating events, as needed
- Conducts additional project-based work as assigned that contributes toward Aledade's mission
