The Events Coordinator Assistant position at the North Dakota Heritage Center & State Museum is a temporary, full-time role expected to commence around May 4 and extend for approximately four months, with potential to transition into a permanent role depending on funding and performance. This role is vital in supporting the seamless scheduling and coordination of events and meetings held at the Center. It requires a dynamic and organized individual who can manage multiple responsibilities including booking events, coordinating with internal teams and external vendors, and ensuring all logistical details are addressed effectively.
The position demands flexibility, as the assistant will work early mornings, evenings, and weekends when events are scheduled. This role involves close collaboration with security, custodial, and technology teams to facilitate setup, oversee event execution, and manage teardown activities. Additionally, this position includes providing basic technical assistance for event-related technology, ensuring events proceed smoothly and attendees have a positive experience.

Job Requirements
- Associates degree with emphasis in hospitality services and two years experience in similar business and customer related fields
- or high school diploma or equivalent and four years experience in hospitality or business services
- ability to work flexible schedule including some evenings and weekends for events
- demonstrated experience scheduling and coordinating events, completing event contracts, coordinating set up information, and tracking user payments
- must be able to move or lift 25 pounds for event set up and tear down
Job Qualifications

Job Duties
- Scheduling and coordinating all details of meetings and event rentals including contracts and financial payments
- coordinating with third-party vendors such as caterers, decorators, and musicians to ensure agency guidelines are followed
- working closely with security, custodial, and technology teams to support events
- assisting with room setup, tear-down, cleaning, and daily reset of events
- providing basic technical assistance for event technology
- managing event schedules and supporting event execution
- ensuring compliance with organizational policies during events
