The Food Services Department at Bellevue College operates a full-service cafeteria, three coffee shops, and a Pizza Cafe within the housing complex, serving hot meals, light snacks, espresso, tea, and beverages. The department is integral to the campus experience by providing accessible dining options to students, faculty, and staff.
The role of Events Coordinator 3 in the Food Services Department is vital, encompassing planning and executing a wide range of events for both internal and external clients. These events may vary greatly in scale, from small meetings with 10 guests to large, multi-day conferences hosting several hundred attendees. This full-time, regular classified position requires the coordination of various event aspects, including reserving event locations, arranging catering services, coordinating setup and breakdown logistics, and providing on-site event support. Mastery of the 25Live online reservation system is essential to scheduling and managing these events effectively.
The Events Coordinator 3 reports directly to the Events Manager and plays a key role in maintaining excellent customer service standards and attention to detail throughout the event planning and execution process. Administrative responsibilities include preparing contracts, processing invoices, and coordinating with multiple campus departments such as Public Safety, Grounds, Custodial, Maintenance, and Digital Media to ensure seamless event execution.
Additionally, the role involves hands-on tasks including setting up furniture and equipment, delivering refreshments when needed, creating wayfinding signage, and ensuring event spaces are restored post-event. The Events Coordinator 3 also serves as a point of contact during events, managing client communications and providing media support including audiovisual equipment setup and teardown.
Marketing duties are also part of the position, including designing promotional materials, maintaining inventory of marketing items, and supporting event publicity. The position requires working 40 hours per week, generally Tuesday through Saturday, from 10:30 a.m. to 7:00 p.m., with occasional early mornings, evenings, or weekend hours.
Bellevue College offers a competitive salary range for this position, from $42,756 to $56,916 annually, commensurate with experience and qualifications. Job Requirements
- High school diploma or equivalent
- Minimum one year of experience in catering or event planning
- Valid Washington driver’s license with two years of driving experience
- Proficiency in Microsoft Office Suite and Adobe products
- Familiarity with online reservation systems such as 25Live
- Effective communication and customer service skills
- Ability to work independently and collaboratively
- Willingness to work occasional early mornings, evenings, weekends
- Ability to manage multiple projects simultaneously
- Experience maintaining organized records and preparing contracts
- Understanding of ADA compliance and event regulations
Job Qualifications
- High School diploma or equivalent
- Minimum one year of experience with catering or event planning
- Demonstrated ability to prepare contracts, event documents, event marketing materials, and billing while maintaining organized records
- Demonstrated ability to work on several projects simultaneously and follow up on projects
- Demonstrated ability to work independently and effectively collaborate and communicate with team members
- Effective written, verbal, interpersonal communication and customer service skills
- Must have a valid Washington driver’s license with two years of driving experience
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Teams, Visio), Adobe products, and familiarity with online reservation systems such as 25Live
- Demonstrated experience working with colleagues and students in a collaborative and inclusive environment
- Bachelor’s degree or certificate in Marketing, Hospitality, Culinary Arts, or other related areas preferred
- Four years of progressively responsible work experience involving public contact such as secretarial, sales promotion, setting up conferences, public information, or in the hospitality industry preferred
- Knowledge of events management tracking systems preferred
Job Duties
- Schedule meeting rooms, facilities, food and beverage requests, media equipment, and other event support through 25Live
- Develop and provide cost estimates to clients using 25Live
- Correspond with clients and arrange/schedule services through emails, meetings, and phone calls
- Prepare, send and monitor contracts for clients
- Prepare, process and reconcile billing after events
- Conduct event planning meetings with other campus departments, including Public Safety, Grounds, Custodial, Maintenance, Digital Media
- Create and maintain detailed event orders and documentation
