The Events Coordinator role at Mike Jacob Sports Park is a full-time, exempt position reporting directly to the General Manager. This role is essential in bridging communication and coordination between the park and its clients, rights holders, and promoters during a variety of events including rentals, concerts, and other non-athletic gatherings. The successful candidate will work closely with multiple internal departments to ensure the seamless execution of event operations.

Primary responsibilities of the Events Coordinator include assisting in the operational coordination of both athletic and non-athletic events throughout the complex. This encompasses communication with clients at every stage of an event, assisting in managing sponsor deliverables, developing and monitoring event timelines, and helping to secure entertainment and vendors. Coordination with the Operations Team to time event changeovers and maintaining inventory control are also critical aspects of this role.

This position also involves leadership duties, including assisting with hiring recommendations, training, scheduling, and supervising facility operations team members. The Events Coordinator may serve as Manager on Duty during scheduled times, oversee event-day cleaning, and manage venue setup and tear-down duties. Excellence in customer service is paramount, as this role directly supports guest satisfaction by responding promptly and professionally to requests. The role also requires proficiency in audio/visual setups and operations.

Ideal candidates possess experience managing staff and multiple events simultaneously, with knowledge of sound, lighting, and video systems. Familiarity with supervisory principles and experience training part-time team members is valued. Job Qualifications

  • Experience in managing staff to effectively execute a successful event
  • 1-3 years' experience in event management is preferred
  • Proven success in managing multiple events at one time
  • Knowledge of sound, lighting, and video operation
  • Knowledge of supervisory principles, with an emphasis on working with and training part-time operations Team Members
  • Experience and success in customer service, leadership, and organization
  • Action-oriented personality with a 'get it done' attitude and proficiency for efficiency
  • Bachelor's degree in marketing, hospitality, event planning, or related field is preferred

Job Duties

  • Assist in the coordination of the operational aspects of events, athletic events and non-athletic events, sports and non-sports events, and concerts throughout entire complex
  • Communication with clients throughout every aspect of an event, program, rental
  • Assists in helping manage sponsor deliverables relative to events that we host
  • Develop and monitor event timelines, help secure entertainment and vendors for the events and work with Event Staff and stakeholders to ensure deadlines are met
  • Help coordinate the timing of event changeovers with the Operations Team
  • Assists with maintaining and controlling inventory of supplies and or equipment used for events
  • When requested, assists with or recommends hiring decisions
  • and performs training, scheduling, and supervision of facility operations Team Members
  • Performing the role of Manager on Duty (MOD) when scheduled
  • Requesting, coordinating, and executing event-day cleaning duties as needed
  • Executing venue setup and tear-down duties as needed
  • Providing premier customer service to all stakeholders by responding to requests in a timely and professional manner
  • Ensuring guest satisfaction at an excellent level or standard
  • Helping execute various small-and large-scale sporting events for the facility
  • Strong knowledge of audio/visual set up and operation
  • All additional duties assigned by management
