Job Description
The Mississippi Department of Archives and History (MDAH), established in 1902, is the state's premier institution dedicated to collecting, preserving, and providing access to the rich archival resources of Mississippi. The agency operates through its five divisions, with the Museum Division being a central component housing valuable historical artifacts and exhibits that celebrate Mississippi's heritage. MDAH's mission is to preserve the diverse historical resources of Mississippi and share them with the world, inspiring the discovery of stories that connect lives and shape the future. This commitment to historical preservation and community engagement positions MDAH as a respected cultural institution within Mississippi and beyond.
Currently, the Mississippi Department of Archives and History is seeking a full-time Events Coordinator to join its Museum Division's Events Rental Section based in Hinds County, MS. This time-limited, five-year position is classified as NS-14 and reports directly to the Events Manager. The salary range for this role falls between $33,600.00 and $38,640.00 annually.
The Events Coordinator plays an essential role in managing the rental of museum facilities, particularly to religious organizations, at the Two Mississippi Museums (TwoMM). This role requires strong organizational and communication skills to plan, coordinate, and oversee facility rentals effectively. The coordinator will serve as the primary contact for clients, handling all communications including responding to inquiries via phone, email, and face-to-face meetings. They will conduct tours of the facilities to showcase rental spaces, prepare necessary contracts, invoices, and documentation to ensure smooth transactions, and coordinate with various departmental staff regarding the logistics involved in each event.
In addition to managing the administrative side of facility rentals, the Events Coordinator is actively involved in community outreach, especially targeting places of worship and religious organizations to promote the museum's rental opportunities, thereby strengthening community relations and engagement. The role also encompasses overseeing event setups and cleanups, ensuring that spaces are arranged according to the clients’ specifications and that events proceed seamlessly. Support during the actual events to handle logistical challenges is also a key aspect of this position, as well as providing timely follow-up communication with the Events Manager to report on event outcomes.
This dynamic role necessitates the flexibility to work evenings and after-hours to accommodate event schedules and the occasional support of special events throughout the year. Candidates who thrive in fast-paced, customer-focused environments with a friendly and approachable demeanor will find this position rewarding. The successful candidate will have a commitment to maintaining high standards in event coordination and customer service.
MDAH offers a comprehensive benefits package including health and prescription insurance, wellness programs, life insurance, optional insurances such as dental and vision, flexible spending accounts, paid personal and sick leave, military leave, paid holidays, retirement programs, deferred compensation plans, participation in the state credit union, tuition reimbursement, career development training, promotional opportunities, and career ladders. These benefits reflect MDAH's investment in its employees' well-being, professional growth, and long-term security.
