The Events Coordinator role at the Tampa Museum of Art is a vital position responsible for the seamless execution of all internal and external events under the direction of the Events Program Manager. This role is dedicated to the logistics and operational aspects of event management, ensuring that each event — whether it be the prestigious TAM Gala, educational programs, exhibition openings, or private rental functions — runs smoothly and meets the museum's high standards. The successful candidate will work closely with museum departments, external vendors, and contracted resources to coordinate event setup, breakdown, communication, and safety. This position requires a proactive self-starter with strong organizational skills and a commitment to providing exceptional customer service to both internal stakeholders and external clients.
The Events Coordinator plays a key role in maintaining the quality and effectiveness of the museum's public-facing events, contributing to event planning processes, overseeing event operations in the absence of the Events Program Manager, and ensuring adherence to TAM's core brand values of being innovative, passionate, civic-minded, gracious, and approachable. Additionally, the role demands flexibility in working evening and weekend hours and readiness to respond promptly to on-site issues, including safety and security concerns. Job Requirements
- High school diploma or equivalent
- two years of event planning, customer service, or related experience
- ability to work evening and weekend hours
- proficiency in Microsoft Office products
- knowledge of A/V systems operation and troubleshooting
- experience with Tripleseat events CRM
- strong communication skills
- ability to lift and move objects up to 50 pounds
- ability to work in a team environment
- commitment to museum values and DEIA framework
- ability to manage multiple projects
- willingness to travel locally up to 5 percent
- ability to respond to safety and security issues
- valid CPR and First Aid training preferred
- ability to handle interruptions and high workload periods
- physical ability to stand, stoop, and walk for extended periods

Job Duties
- Provide excellent customer service
- assist with setup, breakdown, and other aspects of event execution including A/V and equipment setup as directed
- work with TAM staff and stakeholders to evaluate event effectiveness and areas for improvement
- coordinate with security and operations to assess and manage safety and staffing resources for events
- assist with event sales and communications with internal and external stakeholders
- oversee events in absence of the Events Program Manager
- contribute to the planning of various events
- perform other duties as assigned
