Within this vibrant setting, the Events Coordinator plays a critical role in supporting the Private Events team by managing the execution of weddings, corporate functions, social gatherings, and internal events. This position is perfect for a detail-oriented and highly organized professional with strong communication skills who thrives in a dynamic hospitality environment. The Events Coordinator is responsible for coordinating multiple aspects of event management, ensuring seamless communication between departments such as Sales, Catering, Food & Beverage, and Housekeeping. Key tasks include preparing and distributing banquet event orders (BEOs) and group resumes, managing event agendas, overseeing event-related paperwork, and assisting with VIP arrival amenities and pre-event site inspections.

The role demands excellent organizational skills to handle daily updates, internal reviews, and scheduling logistics, making sure all stakeholders are well-informed throughout the event lifecycle. This position acts as a liaison between various operational departments, helping to resolve conflicts related to event spaces and ensuring smooth event flow from planning to execution. The Events Coordinator also supports internal meetings and special projects, maintains event software systems such as Delphi and Opera, and contributes to the resort's sustainability initiatives.

Job Duties

  • Maintain timely communication with key operational departments
  • prepare and distribute banquet event orders and group resumes for meetings and reviews
  • coordinate event-related paperwork including menus, signage, and floor plans
  • arrange arrival amenities for VIP guests and assist with site inspections
  • serve as interim contact for sales group turnovers
  • manage daily event agendas and internal communications
  • support internal meetings and track coordinator needs
  • update weekly catering pace reports and assist with internal event planning
  • review and audit contracts for program highlights and conflicts
  • maintain Delphi Administrator responsibilities for bookings and menus
  • coordinate internal event requests with operational departments
  • assist in developing group and social event resumes
  • maintain office organization and inventory
  • assist director and event managers with banquet event orders ensuring documentation accuracy
  • track and resolve event scheduling conflicts
  • liaise with experiences and food and beverage teams regarding space management
  • represent department heads at meetings when necessary
