The position is structured as an organizational and operational support role for the corporate sales designers. The successful candidate will be responsible for assisting in the planning and execution of Boca by Design's varied events, playing a critical part in the behind-the-scenes coordination that drives successful outcomes. This role requires attention to detail, strong communication skills, and the ability to multitask in a dynamic, fast-paced environment. Responsibilities include drafting accurate proposals, attending client meetings to better understand event needs, assisting with purchasing and installation duties, and maintaining organized documentation and photo archives. The candidate will also play a pivotal role in supporting managers by managing contracts, tracking vendor commissions, updating event information, and ensuring timely communication with clients.
Apart from hands-on administrative duties, the candidate will act as an essential point of contact for both internal teams and external clients. This includes sending introductory letters to potential clients, responding to inquiries, coordinating calendars, and providing follow-up support to managers. The position requires a proactive individual who takes ownership of tasks and demonstrates accountability in all actions and communications. A strong proficiency in Microsoft Office applications and familiarity with sales platforms like SalesForce is necessary. Job Requirements
- Interest in planning events
- High School diploma
- GED preferred
- Minimum 2 years experience in clerical roles
- Typing at 65 WPM
- Experience with letter composition, MS Word, Excel, and Photo Shop
- Up to date computer skills including social media platforms such as Twitter, eblasts, and blogging
- Fluent English language skills in speaking, reading, and writing
- Excellent communication and presentation abilities
- Ability to occasionally lift and carry up to 50 lbs
- Previous event industry experience preferred

Job Duties
- Ensure all proposals provided by manager are typed accurately and added correctly when sending to clients on a timely basis
- Administrative support for special event designers
- Assist with signed contract receiving and proper payment documentation
- Typing proposals, distribution, support DMC function by handling activity contracts and updating offerings
- Attend conference calls and client meetings with managers to understand event needs and vision
- Assist manager with purchasing items for events
- Oversee install on events when corporate managers are unavailable
- Ensure all items listed on proposals are present and correct
- Organize, maintain, and label photos from events
- Meet with manager regularly to understand daily priorities
- Maintain current filing system through scanning and up to date document management
- Prepare spreadsheets to track items, vendors, and install times for groups of events
- Follow up with managers on projects needing assistance
- Ensure proposals are accurate and communicated timely to clients
- Keep master proposals up to date and distribute changes
- Track preferred vendors on BEOs and commissions owed
- Familiarity with samples, linen packages and SalesForce
- Distribute proposals upon receiving signatures and master account numbers
- Receive payments when applicable
- Monitor changes or revisions and update master files
- Prepare in-house proposals to assist manager
- Review BEOs including diagrams for anything BBD related and cross-reference with managers and proposals
- Attend daily BEO meetings if managers cannot be present
- Ensure DMC booklets are current with correct prices and activity information
- Prepare contracts and descriptions for new DMC events and add to booklets
- Monitor, update, and research offsite property venues booklet for private events
- Take ownership of responsibilities and be accountable for all actions and interactions
- Be proficient with all Microsoft Office applications
- Provide follow-up assistance and manage changes proactively
- Work occasional weekends as required
