The Events Coordinator role at MTO is a full-time, non-exempt position based in Los Angeles with a hybrid schedule requiring presence in the office 1 to 3 days per week on a fixed schedule. The position offers a competitive hourly wage of $36.77 to $40.15 (approximately $76,481 - $83,512 annually), which is part of the firm's comprehensive total rewards package. The role requires residency within a reasonable commuting distance to the Los Angeles or San Francisco offices depending on firm discretion.

The Events Coordinator's primary responsibility is to support the planning, organizing, and execution of the firm's internal and external events, including receptions, lunches, dinners, and retreats. Working closely with the Events Manager, Events Specialist, attorneys, and internal departments, the coordinator ensures flawless event logistics and operations. Essential duties include managing event timelines, coordinating invitations, handling RSVPs via Cvent (a specialized event management software), and ensuring smooth day-to-day event processes.

This position also involves overseeing event logistics such as venue setup, catering, audio-visual requirements, seating arrangements, and dietary accommodations. The Coordinator tracks event expenses, processes payments, and assists in financial reporting, maintaining clear and accurate records. Communication plays a key role in this function, involving preparation and distribution of event invitations, communications, and post-event reports. The role requires maintaining the firm’s event calendar as the central scheduling resource and supporting project timelines to meet key milestones effectively.

The coordinator must stay updated with event industry trends and firm-specific needs to provide innovative event management solutions. The job often entails supporting events conducted outside the department, necessitating flexibility and the ability to take on additional duties as assigned. Travel for events may be required domestically, and availability for evening and weekend events is essential.

Job Duties

  • Assist in planning and supporting firm events including receptions, bi-weekly lunches, dinners and retreats
  • Coordinate event logistics such as invitations, RSVPs, room setup, catering, AV needs, seating, dietary requirements, and speaker management
  • Manage the setup and day-to-day handling of event RSVPs and event apps in Cvent including building forms, making updates, and monitoring submissions
  • Support guest needs for retreats including rooming needs and dietary requirements
  • Track event expenses, process payments, and assist with financial reporting
  • In collaboration with internal departments, prepare event communications, invitations, and post-event reporting
  • Maintain records, receipts, orders, and event supplies inventory
  • Maintain and update the firm’s events calendar and serve as the central scheduling resource for firm events
  • Assist in maintaining project timelines and supporting key milestones
  • Maintain awareness of event industry trends and firm-specific event needs
  • Contribute to firmwide knowledge management efforts including data tracking and analytics
  • Support events hosted outside the department when needed
  • Perform additional duties as assigned
