Job Requirements
- Bachelor's degree or equivalent experience
- 1-3 years experience in event coordination or event support
- proficiency with Cvent event management or database software
- strong attention to detail
- excellent communication skills
- capability to multitask and coordinate across departments
- analytical skills and knowledge in data management
- proficiency in Microsoft Outlook calendar management
- proficiency in Microsoft Excel, Word and PowerPoint
- willingness to work some overtime when required

Job Duties
- Coordinate in-person events
- build registration sites in Cvent
- communicate with planners and key business partners on event logistics, registration status, scheduling, attendance and attendee feedback
- plan for and execute the creation and printing of name badges, agendas, attendee lists, biographies, and all other meeting materials requiring production
- run registration reports from Cvent for distribution to planning teams
- cross check hotel rooming lists and travel manifests as needed
- ship meeting collateral and supplies to off-site events and tradeshows
- research premium items, negotiate pricing and maintain inventory status on and ship to events as necessary
- assist with eReview
- process invoices and follow up on status of payment on an ad hoc basis
- research and source venues, premiums, speakers and ad hoc requests
- arrange group and individual transportation
- provide on-site support for local events in Boston and New England
- manage registration for virtual events within Cvent
- create and build registration sites for virtual events
- manage registration, calendar holds and confirmations
- provide registration summary updates to planning team
- schedule weekly meetings to meet deadlines
- collect, analyze and report feedback from all events to business owners
- manage mailbox and weekly meeting notes distribution to planning team
- create replay site in Cvent
- collaborate with business units to determine reporting and dashboard requirements in Cvent
- schedule meetings, arrange travel and handle expense reports for leadership team
- schedule meetings and take notes
- build ad hoc and customized reports and dashboards in Cvent
