The Events Associate at JASA plays a critical role in the planning, execution, and management of internal events while supporting the coordination of external rental and development-related events. This position is designed to ensure seamless coordination across various departments and deliver high-quality, mission-driven experiences for donors, volunteers, partners, and community members. The role operates within a hybrid work setting, requiring at least three days per week in-office or onsite presence. The Events Associate collaborates closely with the Associate Director of Special Events to execute a wide range of events such as cultivation events, fundraisers, conferences, workshops, volunteer events, and donor stewardship activities.

Key responsibilities include coordinating event logistics, managing guest lists and invitations, creating event materials, overseeing vendor relationships, tracking expenses, and providing onsite event staffing and logistical support. This role requires strong organizational skills to manage multiple concurrent events and excellent communication skills for effective collaboration with vendors and internal teams. The position also demands the ability to travel throughout NYC's five boroughs and Long Island to support various event needs. Proficiency in Microsoft Office and Google Workspace is essential, along with experience using design tools like Canva and familiarity with social media platforms and communications software. Job Requirements

  • Bachelor's degree preferred
  • 1-2 years of experience in event planning, project coordination, or administrative support
  • Strong organizational skills
  • Excellent written and verbal communication skills
  • Ability to travel throughout NYC's five boroughs and Long Island
  • Proficiency in Microsoft Office and Google Workspace
  • Experience with Canva
  • Familiarity with mail merge tools, social media platforms, and communications software
  • Ability to work evenings and weekends for events
  • Ability to work in a hybrid environment with at least three days onsite per week

Job Duties

  • Support the Associate Director of Special Events in executing cultivation events, fundraisers, conferences, workshops, volunteer events, and donor stewardship activities
  • Coordinate event logistics including venues, vendors, materials, signage, transportation, supplies, and budgets
  • Manage guest lists, invitations, RSVPs, and post-event follow-up
  • Create event materials including email invitations, programs, and promotional items
  • Oversee vendor relationships including designers, printers, photographers, promotional suppliers and negotiate pricing
  • Track expenses, reconcile budgets, and process payments
  • Partner cross-departmentally to coordinate tours, site visits, and brand visibility opportunities
  • Provide onsite event staffing and logistical support
