The role of the Events Associate at Pantheon is a vital position that supports the comprehensive planning, coordination, and execution of various events hosted or sponsored by the company. This includes large-scale conferences, interactive webinars, and critical client engagement activities. Reporting directly to the Events Manager, the Events Associate will engage in all phases of event management—from initial research and venue selection to on-site support and subsequent event analysis. In this position, the associate will coordinate logistics, manage delegate lists, liaise with vendors, and ensure seamless integration with the marketing team to align event collateral and branding. They will play a significant part in iconic Pantheon events such as the Annual Investor Meeting, ensuring these flagship occasions run flawlessly and reflect Pantheon’s standards of excellence. Beyond logistical duties, the associate will also facilitate marketing campaigns related to events, support digital content updates, and assist in collecting and analyzing feedback to drive continuous improvement in event delivery.

Job Requirements

  • Education in event management marketing business or related field preferred
  • Relevant experience in event coordination marketing preferably within financial services private equity or asset management
  • Strong organizational and multitasking abilities
  • Excellent communication skills both written and verbal
  • Proficiency with Microsoft Office suite especially PowerPoint Word and Excel
  • Familiarity with event management software like Cvent advantageous
  • Ability to work collaboratively within teams
  • Willingness to learn and take initiative in a fast-paced environment

Job Qualifications

  • Demonstrable experience in event coordination or marketing ideally within financial services private equity or asset management
  • Strong organizational skills and attention to detail with the ability to manage multiple projects simultaneously
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office PowerPoint Word Excel essential experience with Adobe Creative Suite advantageous
  • Familiarity with tools such as Cvent WordPress and Dotdigital desirable
  • A proactive team-oriented approach with a willingness to learn and take initiative

Job Duties

  • Assist with end-to-end logistics for Pantheon-hosted and sponsored events including venue research vendor coordination delegate management and on-site support
  • Support the execution of Pantheon’s annual flagship events such as the Annual Investor Meeting
  • Coordinate event materials and collateral in collaboration with the Marketing team including invitations signage presentations
  • Maintain and update the central event calendar ensuring visibility across the business
  • Liaise with internal teams to gather input align objectives and ensure event messaging consistency
  • Support the sourcing and contracting of external suppliers venues catering AV photography etc.
  • Help manage delegate communications and assist with registration processes
