Job Description
The Virginia Zoo, established in 1901 and located in Norfolk, VA, is a prominent zoological institution that spans 53 acres and houses more than 700 animals from over 150 species. Known for its expansive outdoor habitats and specialized indoor exhibits such as the World of Reptiles, the Virginia Zoo serves as both an educational and recreational hub for the community and visitors alike. The zoo also features three classrooms for educational programs, as well as an indoor restaurant and gift shop to enhance visitor experience. As a member of the local and national zoo community, the Virginia Zoo is dedicated to wildlife conservation, education, and fostering a connection between people and nature through engaging exhibits and programs.
The role of Event Assistant at the Virginia Zoo is a full-time, non-exempt position reporting directly to the Events Manager. This position is central to the successful planning and execution of a variety of engaging and well-organized events at the zoo that attract both local community members and tourists. As an Event Assistant, you will support the Events Manager and the broader Events Department in coordinating all aspects of event logistics, promoting zoo events in collaboration with the Marketing Department, and maintaining efficient administrative processes. Your responsibilities will span from vendor communication and scheduling to onsite event coordination and post-event reporting. This position requires an individual who is highly organized, detail-oriented, and capable of managing multiple tasks simultaneously in a dynamic, fast-paced environment.
Success in this role means ensuring that all events run seamlessly, from private rental parties to large community festivals. You will be responsible for managing vendor relationships including DJs, bounce house rentals, and food trucks, ensuring timely arrivals and compliance with zoo policies. Coordinating promotional efforts by distributing flyers and materials in the community and assisting with event signage and guest wayfinding will be crucial to maximizing event attendance and guest satisfaction. You will also provide critical administrative support by maintaining event checklists, timelines, and documentation, while acting as a point of contact onsite to assist guests and answer questions. Gathering guest feedback and helping to develop new event ideas will be key components of your contribution to the ongoing success and growth of the Virginia Zoo Events Department. - ability to lift and move objects up to 35lbs
- ability to work outdoors in various weather conditions
Job Qualifications
- Bachelor's degree preferably in Hospitality, Event Planning, Tourism, Parks and Recreation, or Communications or equivalent experience
- experience with site maps/plan-o-grams
- experience working events
- experience as a venue coordinator or with outdoor events
- experience working with 3rd party vendors
- understanding of the local Norfolk community
- experience in event planning, hospitality, or marketing
Job Duties
- Assist with vendor communication
- coordinate vendor logistics such as arrival times and load-in/load-out procedures
- maintain vendor agreements and ensure compliance with zoo policies
- assist with development of new vendor partnerships and sponsorship coordination
- distribute flyers and promotional materials around the community
- assist with event setup, breakdown, and onsite coordination
- provide general administrative support such as organizing event-related documents and maintaining checklists
- serve as onsite point of contact for guests during events
- assist with event signage and wayfinding placement
- gather informal feedback from guests
- work closely with other zoo departments and volunteers
- conduct inventory audit of event supplies and initiate reorders
- assist with collecting attendee and staff feedback
- provide post-event recaps including financial data and attendance
- provide support for private rental events and birthday parties
