The role of Events and Spaces Coordinator is central to the Library’s mission and operational excellence. This position involves managing and facilitating internal and external meetings and events across multiple system-wide spaces. Responsibilities include scheduling and booking meeting rooms and event venues, coordinating logistical details with event partners and external vendors, and overseeing on-site setup and teardown. The coordinator also plays a crucial role in fiscal management tasks such as preparing event cost estimates, contributing to the annual budget for system-level events, and managing financial operations including W-9 processing, purchase orders, and check requests. Beyond logistics and financial management, the position demands expert customer service skills to enhance attendee experience and satisfaction. Post-event duties include processing invoices, gathering feedback through surveys, and maintaining stakeholder relationships through personalized communications. The role requires a sharp focus on continuous improvement by utilizing feedback and statistical analysis to evaluate event success and plan future initiatives.
Collaborative work with the Programs and Events Manager ensures the development and maintenance of an annual calendar aligned with the Library’s strategic goals and priorities. The coordinator assists various locations within the system in event planning and execution, reviews venue accessibility and suitability, and supervises staff and volunteers during events. Technical proficiency is also required for operating and troubleshooting audio-visual equipment. The position demands a proactive, independent, and flexible professional capable of working with minimal supervision while embodying the Library’s core beliefs and adherence to its code of conduct. This full-time role involves a standard 40-hour work week including some evenings and weekends to support diverse programming needs. Job Requirements
- High school diploma or equivalent
- Two or more years of relevant experience
- Ability to manage, set up, and troubleshoot relevant equipment for presentations, meetings, and events
- Skill in meeting room coordination and event planning
- Skill in customer service
- Ability to work independently and with coworkers with minimal supervision
- Knowledge of effective supervisory methods and techniques
- Ability to use applicable technology and systems for the job
- Driver's license and acceptable driving record
Job Qualifications
- High school diploma or equivalent is required
- Bachelor’s degree in Public Relations, Communications, Hospitality Management, or relevant discipline is preferred
- A driver's license and a driving record acceptable to the Library's insurance provider are required
- Two or more years of relevant experience is required
- No experience supervising is required
Job Duties
- Prepares special event cost estimates and assists with preparing an annual budget for system-level special events
- Manages fiscal processes and systems, such as W-9, POs, check requests, and credit card management
- Coordinates logistics for the Library’s regular meetings, board meetings, and system-level large or special events, including speakers, system achievements, and participation in community events
- Manages and executes post-event processes to ensure smooth closure and customer satisfaction
- Uses customer feedback, surveys, and evaluation tools to enhance event success, impact, and identify future opportunities
- Tracks deadlines and deliverables, prepares summary statistics and reports to support planning and decision-making, and recommends new events or the retirement of events
- Collaborates with the Programs and Events Manager to develop and maintain an annual calendar of special events aligned with the Library’s goals and priorities
- Assists locations with event planning and coordinating major events
- Reviews venues for accessibility, signage, audio-visual equipment, room setup, staffing, crowd control, and traffic flow
- Serves as point of contact for procuring staff and volunteers for system-level special events, prepares and disseminates assignment rosters, and directs staff and volunteers at events
- Maintains and troubleshoots audio-visual equipment and runs audio-visual during events
- Assists in coordination of Main Library exhibits and tours
- Supports and advances the Library’s mission of connecting people with the world of ideas and information
- Embraces and embodies the Library’s core beliefs, strategic priorities, and pillars of excellence
