Job Description

The Events and Operations Coordinator position at WPI is integral to supporting the dynamic campus community by managing and coordinating a wide variety of student and university events. Reporting to the Director of University Events and Chief Commencement Officer, this full-time role offers an hourly wage ranging from $21.25 to $24.56, depending on experience, with a standard 37.5-hour workweek. The position is classified as non-exempt under the Fair Labor Standards Act (FLSA).

This role requires a detail-oriented and organized individual who will play a crucial part in facilitating event planning and execution for student organizations, as well as providing essential operational support within the Conference and Event Services Office. Responsibilities include managing event requests, ensuring compliance with university policies, coordinating with various departments such as Facilities, Campus Police, Catering, Athletics, and Residential Services, and utilizing the university's event management software, 25Live, to streamline scheduling processes. The coordinator will act as a project manager for events, handling logistics such as card access, parking permits, wireless passes, and IT support, while also serving as an on-site resource during events to guarantee successful outcomes.

Beyond event coordination, the position involves administrative duties including managing incoming correspondence, processing purchasing requests, assisting with securing city permits, onboarding student workers, and maintaining office policies and communications. The role requires strong interpersonal skills to work effectively with students, colleagues, and external partners. Additionally, the coordinator will support the Director of University Events by participating in committee meetings, data gathering, and playing an active role in Commencement planning and exercises. The position occasionally requires physical activity such as standing, walking, and lifting up to 50 pounds during on-site event support and involves minimal travel (1-3 times per year).

  • Experience with 25Live or equivalent event management software preferred

Job Duties

  • Manage day-to-day student event requests ensuring they are processed efficiently and equitably
  • Provide guidance on WPI event policies and procedures
  • Process event correspondence via email meetings and phone
  • Manage incoming 25Live reservation requests
  • Process work orders for power banners and equipment/supply transportation
  • Gather post-event analysis budget recaps and participant feedback incorporate findings into future planning
  • Serve as project manager for all events collaborating with Facilities Campus Police Catering ATC Athletics Residential Services and other departments
  • Create event diagrams and assign resources for each event
  • Coordinate card access parking passes wireless passes and IT support for events
  • Communicate cost estimates to all clients
  • Serve as on-site support to ensure event planning and execution meets client expectations
