The Account Manager position at Hello! Destination Management is a pivotal role focused on delivering flawless execution of destination programs that align with what has been sold by the Account Executive. This role involves direct coordination with clients, hotel partners, vendors, and on-site staff, ensuring each detail of the program is carried out to the highest standard. The ideal candidate is highly organized, detail-oriented, proactive, and thrives in a dynamic, fast-moving environment requiring high responsiveness and adaptability. The Account Manager is responsible for overseeing pre-event planning, including site visits, client meetings, transportation booking, and field staff coordination. Upon program launch, the role includes managing client communications, vendor negotiations, logistical arrangements, on-site operational leadership, and post-event reconciliation and reporting. Travel may be required based on program needs, offering exposure to diverse event venues and client scenarios nationwide. Skills critical for success in this role include strong communication, time management, proficiency with Excel and Word, and an outgoing, positive attitude that fosters excellent relationships. Job Requirements

  • Valid driver’s license with a safe driving record
  • Ability to travel as required by client programs
  • Ability to operate standard office equipment
  • Ability to work in a fast-paced, dynamic environment
  • Strong time management skills
  • Must be able to perform essential job functions with or without reasonable accommodation

Job Qualifications

  • Bachelor’s degree preferred
  • Prior experience in account management or event planning
  • Strong organizational skills
  • Effective communication skills both verbal and written
  • Proficiency in Microsoft Excel and Word
  • Ability to work independently and as part of a team
  • Proactive problem-solving skills
  • Ability to manage multiple complex projects simultaneously

Job Duties

  • Attend site visits with the Account Executive and Program Design Associate
  • Attend client meetings or conference calls
  • Pre-book transportation and field staff
  • Communicate with clients to confirm needs based on contracts
  • Communicate with hotel contacts and vendors to confirm contracts
  • Conduct site visits with or without clients and vendors
  • Breakout arrival and departure manifests
  • Book transportation and order field staff
  • Order necessary merchandise or supplies
  • Generate program recaps and distribute to clients, hotels, and internal contacts
  • Generate staff instructions and paperwork
  • Assist clients with additional program items
  • Generate service agreement addendums
  • Attend client and hotel pre-cons
  • Meet with clients to review programs
  • Manage and be on-site for themed events, transportation, tours, teambuilding, off-property events
  • Update manifests, transportation needs, and field staff requests
  • Update XE costing sheets and reconcile vendor invoices
  • Create preliminary invoice and organize files for billing
  • Review final invoice with billing and review P&L
  • Follow up with clients regarding final invoice and evaluation
  • Lead by example and exercise discretion and independent judgement
  • Perform other duties as assigned
