Bennett Valley Golf Course is a picturesque 18-hole golf course located in Santa Rosa, California, that emphasizes community spirit and an approachable playing experience. Central to the course’s charm is Iron & Vine Restaurant, Bar & Events, a modern indoor-outdoor venue that provides seasonal cuisine, a full-service bar, and a versatile space for a wide variety of gatherings including weddings, social events, corporate meetings, tournaments, and special celebrations. The role on offer is focused on supporting the sales and marketing efforts of this vibrant golf course, restaurant, and event venue. This position plays a critical role in event coordination and execution, ensuring that every detail is managed from contract completion to event day. Responsibilities include managing event logistics, maintaining clear and timely client communications, and executing marketing initiatives to promote Bennett Valley's offerings continuously. Given the nature of the venue’s operations, this role requires strong multitasking abilities and attention to detail to prepare, finalize, and execute each event flawlessly. The ability to work closely with sales, marketing, culinary, and operational teams ensures seamless event experiences and cohesive promotional activities.

This role is a full-time, non-seasonal position classified as hourly and non-exempt, with a pay range of $25-27 per hour plus commission. The position demands a flexible work schedule primarily from Tuesday through Saturday, with occasional evenings, Sundays, and early mornings depending on event demands and operational needs. Job Requirements

  • High school diploma or equivalent
  • 1-3 years of relevant experience in event coordination, hospitality, or marketing
  • Ability to work a flexible schedule including Tuesday through Saturday, with occasional evenings, Sundays, and early mornings
  • Strong organizational skills and attention to detail
  • Excellent communication skills
  • Proficiency with CRM and POS systems
  • Basic marketing knowledge and social media skills
  • Ability to manage multiple tasks in a fast-paced environment
  • Reliable transportation for site visits and events

Job Qualifications

  • 1-3 years of experience in event coordination, hospitality, or marketing in a high-volume environment
  • Experience working with CRM systems, POS systems, and basic marketing platforms preferred
  • Proficiency in Microsoft Office or Google Workspace

Job Duties

  • Support the transition of events from sales to operations following contract execution by the Director of Sales and Marketing
  • Manage all event payments, documentation, and scheduling of detail meetings with the Director of Sales and Marketing and client
  • Coordinate client communications related to logistics, timelines, and event updates
  • Finalize event details upon receipt of the final guarantee, ensuring BEOs, diagrams, and timelines are accurate and complete
  • Update floorplans and event documents as changes occur
  • Produce and distribute all event documentation including BEOs, timelines, diagrams, and event packets
  • Coordinate vendor logistics, setup details, and internal communication
  • Serve as on-site coordinator for assigned events, ensuring smooth execution
  • Ensure all internal teams are aligned and informed of final event details
  • Process and track all deposits, payments, and required documentation
  • Manage multi-payment and high-volume events with clear tracking systems
  • Reconcile final event charges based on actual attendance and consumption
  • Ensure alignment across CRM, POS, and reporting systems
  • Complete post-event billing, follow-ups, and client communication
  • Maintain accurate and up-to-date records, timelines, and tasks within CRM
  • Proactively communicate updates and changes across departments
  • Prepare weekly BEO packets and support operational review meetings
  • Maintain organized, audit-ready digital event files
  • Respond promptly to client and internal communications
  • Support site tours and client interactions as needed
  • Execute marketing collateral for all programming
  • Maintain accurate and consistent messaging across website, Google Business, social media, and on-site materials
  • Create, schedule, and publish social media and promotional content
  • Capture event photography and maintain organized content libraries
  • Support execution of the marketing calendar to ensure timely campaign launches
  • Track and report on basic marketing performance
