The Events & Hospitality Manager role at Vela Wood is a dynamic, full-time, in-office position based in Dallas. This role is crucial to the firm’s brand and client engagement strategy, responsible for leading all aspects of event programming and venue management. The Events & Hospitality Manager oversees a diverse portfolio of events, ranging from cozy client happy hours and team lunches to large-scale sponsored activations and an international month-long remote work experience called VW Abroad. The role involves managing event budgets, vendor relationships, logistics, audiovisual setups, catering, attendance tracking, and detailed post-event analysis and reporting to inform key performance indicators. Beyond individual events, this role is also responsible for broader experiential initiatives, including managing the firm’s in-office event venue tailored for startups and venture partners. The manager coordinates scheduling and usage of this space, balancing rental logistics and client relationships to maintain the firm’s exceptional hospitality standards. Additionally, sponsorships and partnerships fall within this role’s portfolio, requiring execution of sponsorship deliverables, tracking return on investment, and managing conference logistics such as internal agendas, client dinners, and team travel. This role demands evening and weekend availability given the nature of events, with flexible scheduling considered after six months based on business needs. Job Requirements
- Bachelor's degree or equivalent experience
- 4-6 years of relevant experience in event management or hospitality
- Proven track record in large-scale event execution
- Strong organizational and multitasking skills
- Proficiency in managing budgets and vendor relations
- Excellent written and verbal communication skills
- Ability to collaborate effectively across diverse teams
- Willingness to work evenings and weekends as needed
- Ability to travel domestically and internationally

- Comfortable working in-office Monday through Friday with potential flexible scheduling after six months
Job Qualifications
- 4-6 years of experience in event management, hospitality, or a related field ideally within professional services, corporate, or high-touch hospitality environments
- Proven ability to manage large-scale, multi-stakeholder events from concept through execution
- Exceptional organizational skills with experience managing complex logistics across multiple simultaneous projects and locations
- Strong hospitality instincts and attention to detail with a service-oriented mindset
- Experience managing budgets, vendor contracts, and event data
- Excellent written communication skills and familiarity with audiovisual production and storytelling
- Excellent collaboration skills across multiple internal functions including operations, finance, IT, and leadership
- Self-directed, proactive, and able to work independently
- Comfortable operating across two office locations and in both in-person and virtual facilitation roles
- Willingness and ability to travel including internationally for firm initiatives such as VW Abroad
- Demonstrated integrity, humility, and respect in professional conduct aligned with company culture
Job Duties
- Lead end-to-end planning and execution of all firm events across Dallas and Austin including managing budgets, vendor relationships, logistics, AV, catering, attendance tracking, and post-event reporting
- Oversee day-to-day operations of Vela Wood's in-office event venue in Dallas including rental logistics, client relations, scheduling, and co-working space coordination
- Serve as the primary owner of VW Abroad, managing planning, budgets, scouting trips, participant travel, and on-the-ground firm events for the annual international remote work initiative
- Execute approved sponsorships, manage deliverables, track ROI data, and coordinate conference sponsorship logistics such as internal agendas, client dinners, and team travel
- Collaborate with internal teams including operations, finance, IT, and leadership to ensure event success and alignment with firm goals
- Manage vendor contracts and maintain detailed event data and reporting for continuous improvement
- Provide exceptional hospitality ensuring all events reflect Vela Wood's brand and uphold high standards of client and guest experience
