The role of Events & Community Engagement Manager is a full-time, exempt position reporting to the Strategic Communications Director within the Marketing & Communications department. This role is responsible for providing strategic leadership, operational oversight, and coordination for the Eugene Family YMCA’s portfolio of large-scale community events and event series that run throughout the year. The manager is tasked with ensuring that each event aligns with the YMCA’s mission and values, reflecting its commitment to inclusion, equity, and community engagement. This position requires close collaboration with program directors, association leadership, community stakeholders, and the marketing team to deliver high-quality events that foster member appreciation, community involvement, and brand visibility.

Key community events managed by this role include prominent initiatives such as Healthy Kids Day, Walk-It-Off series, the Welcoming Festival, Halloween community celebrations, Promoting CommUNITY events, Member Appreciation events, and important milestone celebrations like the YMCA’s birthday. The role acts as the central coordinator managing all facets of event execution, from planning timelines and logistics to vendor management and staff leadership. The Events & Community Engagement Manager develops standardized planning frameworks to ensure consistency and quality across all events, while also serving as the primary project manager to clarify roles, deadlines, and decision-making authority.

Operational duties encompass facilitating site planning, securing permits, managing contracts, arranging equipment rentals, and overseeing volunteer staffing and safety protocols. This position works in partnership with marketing to support event promotion, brand messaging, and post-event storytelling to maximize community impact. A critical component of the role is managing event budgets effectively and liaising with the philanthropy department to cultivate and secure sponsorships that enhance event success and financial sustainability.

Data-driven decision making is emphasized through the collection and analysis of attendance, engagement, and outcome metrics, enabling continuous improvement. The role also acts as a key representative for the YMCA at community-wide events, engaging with stakeholders and promoting the organization’s programs and services as a confident spokesperson. Job Requirements

  • Two years of post-high school training in event management, marketing, communications, nonprofit management, or a related field or equivalent combination of education and experience
  • At least 4 1/2 years of experience coordinating or managing complex events, programs, or initiatives involving multiple stakeholders
  • Demonstrated experience managing timelines, logistics, and budgets for large-scale or multi-event initiatives
  • Ability to pay frequent and precise attention to deadlines and details
  • Ability to lift and/or move up to 60 plus pounds
  • Must maintain a current, valid Oregon driver’s license, DMV driving record meeting YMCA standards, and evidence of insurability
  • Ability to maintain confidentiality
  • Ability to participate in required trainings
  • Ability to travel and represent the Y at community events
  • Strong communication and interpersonal skills
  • Proficiency in using computers and smart devices
  • Commitment to equity and inclusion

Job Qualifications

  • Two years of post-high school training in Event Management, Marketing, Communications, Nonprofit Management, or a related field or equivalent combination of education and experience
  • At least 4 1/2 years of experience coordinating or managing complex events, programs, or initiatives involving multiple stakeholders
  • Demonstrated experience managing timelines, logistics, and budgets for large-scale or multi-event initiatives
  • Previous experience in a YMCA or nonprofit organization preferred
  • Experience coordinating community-facing or mission-driven events preferred
  • Conversational fluency in Spanish or another community language preferred
  • Strong project management skills
  • Excellent interpersonal and communication skills
  • Ability to influence without authority and work collaboratively
  • Strong organizational and planning skills
  • Strategic thinking including goal-setting, execution, and continuous improvement

Job Duties

  • Leads the planning, coordination, and execution of the Y's major community events and event series including Healthy Kids Day, Walk-It-Off series, Welcoming Festival, Halloween community event, Promoting CommUNITY events and initiatives, Member Appreciation events, Key All Staff appreciation events in partnership with HR, milestone events such as the Y's birthday, and other association-wide events as assigned
  • Attends community-wide events as a representative of the Y, showcasing programs and services
  • Develops and maintains standardized event planning frameworks, timelines, and tools to support consistent, high-quality execution across departments
  • Serves as the primary project manager for association-wide events ensuring clarity of roles, deadlines, dependencies, and decision-making authority
  • Leads event staff and volunteers by creating timelines, task lists, and run-of-show documents to ensure seamless coordination
  • Partners with program directors and department leaders to align event goals with program outcomes, community impact, equity commitments, and organizational strategy
  • Coordinates logistics including site planning, permits, vendor contracts, equipment rentals, staffing plans, volunteer needs, safety considerations, and accessibility accommodations
  • Collaborates with Marketing & Communications staff to support event promotion, branding, messaging, and post-event storytelling
  • Creates, proposes, monitors, and manages budgets for all events to ensure cost-effective operations while maximizing event ROI and impact
  • Tracks attendance, key metrics, and engagement outcomes leveraging data to inform planning and improve future events
  • Builds and maintains relationships with community partners, sponsors, vendors, and external stakeholders
  • Secures sponsorship revenue in partnership with Philanthropy by identifying, soliciting, and closing new sponsorship opportunities
  • Develops systems for collecting feedback, participation data, and prepares post-event evaluations and recommendations
  • Ensures events reflect the Y's commitment to inclusion, belonging, and equitable access
  • Participates in cross-functional planning meetings, committees, and task forces
  • Serves as an articulate, confident spokesperson at events and with stakeholders
  • Completes all required trainings and maintains a current, valid Oregon driver’s license and insurability
  • Protects organizational confidentiality
  • Performs other duties as assigned
