The Event Staff role at Cohera is integral to the success of various events hosted by the company. This position requires a friendly, attentive, and professional demeanor at all times, coupled with a thorough understanding of the Event Staff Agreement, which covers reimbursable expenses, conduct, scheduling, and communications. Employees are expected to participate in mandatory annual training sessions, both online and in person, to stay updated on company standards and procedures. The role involves being well-prepared for each assigned shift by knowing all event details, following directions from Event Managers, and ensuring punctuality. Reliable transportation is necessary as staff may need to travel within their city, with partial mileage reimbursement available.

Event Staff are required to arrive in uniform or, if a uniform is not yet provided, wear an all-black outfit. They must also be equipped with essential tools including a clipboard, counter or clicker, a fully charged smartphone, phone charger, and provisions such as water and snacks to maintain energy throughout their shift. Accurate record keeping of guest counts, driver details, and other pertinent event information is critical, along with timely communication of any updates or challenges to the Event Manager. Duties align with the Schedule of Services which is emailed prior to events, and teamwork is highly encouraged to support fellow staff members.

Interaction with clients, hotel partners, and vendors demands attentiveness, patience, and professionalism. Staff are expected to be proactive by anticipating client needs and reactive by handling issues that arise during events with grace. Maintaining a strong knowledge of the local area, including hotels, attractions, and historical facts, enhances the quality of service offered. Utilizing the Dayforce mobile app for clocking in and out, confirming hours, and submitting expenses ensures accurate payroll processing.

Job Qualifications

  • Minimum of one year work experience in hospitality industry

  • Comfortable navigating the Dayforce mobile app for timekeeping and expense submissions
  • Familiarity with local hotels, tourist areas, attractions and airport

Job Duties

  • Be friendly, professional, attentive and always treat others with dignity and respect
  • Know all details of the Event Staff Agreement including reimbursable expenses, code of conduct, scheduling and communications
  • Attend required annual in-person and online training classes and complete by due date
  • Be thoroughly familiar with the details of your assigned shift and follow direction given by your Event Manager
  • Have reliable transportation to travel throughout your resident city and cover first 25 miles on your own, with balance reimbursable
  • Be punctual and arrive prepared for your scheduled shift
  • Print Schedule of Services, group sign and/or program manifest
  • Bring clear clipboard, counter/clicker, fully charged smart phone, phone charger, water, snacks and meals
  • Arrive in uniform or wear all-black attire if a uniform is not provided
  • Keep records of guest counts, driver details, and pertinent event information and communicate updates to your Event Manager
  • Perform duties as per the Schedule of Services emailed prior to the event
  • Assist and support your fellow Event Staff
  • Interact attentively, patiently and professionally with clients, hotel partners and vendors
  • Anticipate clients’ needs proactively and ensure an exceptional program and experience
  • React appropriately to issues arising during the program
  • Maintain good knowledge of local destinations and event locations
  • Use Dayforce mobile app to clock in/out, confirm hours and submit all expenses as per payroll calendar
