Job Requirements

  • Bachelor's degree or equivalent experience
  • Minimum of 3 years experience in event planning or related roles
  • Experience working in nonprofit or environmental sectors preferred
  • Strong organizational and multitasking skills
  • Excellent written and verbal communication skills
  • Ability to manage multiple projects under deadlines
  • Proficient computer skills including Microsoft Office and event software
  • Availability to work on-site at least twice a week and attend monthly meetings in Topsham
  • Ability to perform physical tasks required for on-site event coordination
  • Must be able to perform essential job functions with or without reasonable accommodations

Job Qualifications

  • Bachelor's degree in event management, communications, marketing, nonprofit management, or a related field
  • Proven experience in event planning and execution, preferably within a nonprofit or environmental organization
  • Strong marketing and communication skills including copywriting and digital media management
  • Demonstrated ability to manage budgets and secure sponsorships
  • Excellent interpersonal skills and ability to build collaborative relationships
  • Proficiency with project management and database software
  • Ability to work independently and as part of a team
  • Passion for environmental conservation and community engagement

Job Duties

  • Lead event strategy development by identifying goals, audience, budget, and location
  • Develop event programs including agendas, talking points, and materials
  • Collaborate with staff and volunteers to ensure consistent messaging and event execution
  • Identify and plan a slate of events to meet organizational goals
  • Work directly with event hosts and program staff to create engaging event experiences
  • Secure financial and in-kind support from sponsors and hosts
  • Manage event budgets, contracts, and logistics including technology, catering, and transportation
  • Create and follow event production schedules
  • Serve as the on-site point person at events handling logistics and challenges
  • Evaluate event success and gather stakeholder feedback
  • Develop comprehensive marketing plans including event copy, branding, and materials
  • Implement communication strategies to increase participation
  • Manage project tasks using organization’s software tools
  • Oversee event email, social media, mailings, and print communications
  • Identify PR and advertising opportunities
  • Coordinate with outreach staff to ensure event branding and experience standards
  • Use digital platforms for registration, giving, and attendee workflow placement
  • Manage database work pre- and post-event
  • Collaborate with data analysts to gather attendee information
  • Document and maintain best practices for event communication and marketing tasks
