Job Requirements
- A bachelor's degree or equivalent experience preferred
- Minimum three years of experience in event facilitation and planning
- Ability to create and follow event timelines and meet deadlines
- Ability to provide excellent customer service in all situations
- Must be a self-starter able to work with minimal supervision
- Strong organizational skills and creativity
- Excellent oral and written communication skills
- Excellent presentation skills
- Proficiency with Microsoft Outlook, Word, PowerPoint and Excel
- Ability to work flexible hours including evenings, holidays and weekends
- Ability to work in extreme weather conditions
- Ability to lift up to 40 pounds
- Valid driver's license
- Ability to pass pre-employment background check, drug test, DMV check and clear annual TB test

Job Duties
- Provide quality guest service to both internal and external guests by maintaining a wild friendly, helpful, positive and professional working attitude and appearance
- Coordinate special events and promotions as assigned
- Create and maintain current event timelines, maps, event sheets, lead sheets and other documents during the event planning process
- Research and develop new ideas for special events that meet the Zoo’s goals and objectives
- Ensure the appropriate use of environmentally focused vendors that align with Zoo’s mission
- Review, initiate and facilitate contracts, agreements and correspondence with vendors, organizations and other service providers to secure items such as equipment, entertainment and rentals necessary for the event
- Create props, decorations and crafts for events
- Ensure safety, cleanliness and organization of equipment and supplies during and after breakdown of events
- Maintain accurate inventory of supplies used for events
- Develop volunteer job descriptions for special events
- Schedule and supervise all event volunteers, as many as 250 in one weekend
- Write copy for event promotional material including signage, web and print
- Track revenue and expenses of assigned events and maintain accurate budget
- Maintain event files including event recap reports
- Act as liaison to third-party service providers to assist in event set-up, support and tear-down of events
- Set-up, maintain and use event software to effectively execute events, including data entry
- Work collaboratively with other Zoo departments to develop activities to incorporate into special events and assist with other department promotions
- Assist the event team with facilitation of other events such as weekend birthdays, corporate, social and internal events as needed
- Provide professional communication and quality guest service to donors, board members and committee members
- Perform other related duties as assigned
