Responsibilities include venue selection, equipment rental coordination, transportation and catering arrangements, accommodations, and detailed audio-visual requirements. You will also develop comprehensive event schedules and timelines, outlining clear responsibilities and deadlines for all involved parties. The Event Specialist will collaborate closely with communications teams to promote events effectively, increasing attendance and engagement through targeted communication strategies.

In addition to logistical management, the role involves identifying potential risks associated with events and implementing contingency and safety plans accordingly. This includes on-site coordination to provide immediate support during events and conducting thorough post-event evaluations to collect performance metrics and identify continuous improvement opportunities. The position demands flexibility to work evening and weekend hours as necessary to accommodate event schedules and to thrive in fast-paced, deadline-driven environments. Experience with Microsoft Office, Google Workspace, and event management software is required to facilitate smooth planning operations. A minimum of five years of experience planning and executing large-scale events with over 300 attendees is preferred, as well as strong organizational, project management, communication, and problem-solving skills. A bachelor’s degree in Event Management or a related field is desired, though equivalent professional experience will be considered.

Job Requirements

  • Bachelor’s degree in Event Management Hospitality Management Communications Business Administration or a related field preferred
  • Equivalent professional experience in event planning and management may be considered in lieu of a degree

  • 5+ years of experience planning and executing large-scale events including conferences conventions symposiums or training events
  • Strong organizational and project management skills with the ability to manage multiple priorities simultaneously
  • Excellent communication and interpersonal skills when working with internal teams vendors and stakeholders
  • Experience coordinating event logistics vendor management and on-site operations
  • Proficiency with Microsoft Office and event management tools
  • Proficiency with digital collaboration tools such as Google Workspace
  • Ability to work flexible hours including evenings and weekends to support event execution
  • Strong problem-solving abilities with attention to detail and a proactive approach to planning
  • Ability to operate effectively in fast-paced environments and meet tight deadlines

Job Duties
