The role of Event Specialist plays a critical part in supporting the Sales, Marketing, and Events teams by bringing creative vision, meticulous attention to detail, and strong organizational skills to the event planning and execution lifecycle. This full-time position is primarily office-based in Plano, TX, with responsibilities extending to on-site event support throughout the Dallas/Fort Worth area. The Event Specialist will work closely with internal team members, clients, and vendors to design visually compelling proposals and presentations using tools like Canva and Adobe Creative Cloud. Creative input is essential for developing event themes, floor plans, branding elements, and program documents such as agendas, timelines, and budget reports.
Beyond creative responsibilities, the Event Specialist manages project details from initial proposal creation through contracting and event implementation, ensuring all aspects are accurately captured and operationally feasible. Coordination with vendors, managing expense reports, operational checklists, and ensuring smooth on-site operations are vital components of the role. This professional also provides valuable administrative and sales support, contributing to lead handling, proposal development, calendar management, and client follow-up, thereby bridging multiple departments for optimal event outcomes.
Ideal candidates will have over 5 years of experience in events, hospitality, or sales support roles, demonstrating proficiency in event software and office technology. A strong creative eye, excellent time management, and the ability to thrive under deadlines are required. Experience with Adobe Creative Cloud, event design software like Social Tables, and familiarity with the DFW area are preferred. This position occasionally demands flexibility for nights, weekends, and out-of-state travel. Job Duties
- Design visually compelling client proposals, presentations, and event concepts using Canva and Adobe Creative Cloud (Photoshop, InDesign, and/or Illustrator)
- assist in developing event themes, layouts, floor plans, and branding elements
- create and maintain program documents including agendas, timelines, run-of-show, budget reports and internal operational materials
- manage assigned projects from proposal development through contracting and event execution
- create detailed program timelines, expense reports, vendor scopes, and operational checklists
- maintain organized program files to support operational accuracy and team efficiency
- assist with vendor negotiations, contracting, and detailing throughout the planning process
- support sales with vendor invoicing, reconciliations, and post-event closeouts
- assist with on-site event operations to ensure smooth execution
- support Sales and Marketing teams with inbound leads, proposal creation, and follow-up materials
- provide administrative support including file organization, calendar management, reporting, and data tracking
- collaborate with teammates to design programs that meet and exceed client needs
- maintain strong relationships with existing suppliers and assist in developing new vendor partnerships
