The Sam Rayburn Student Center at ETAMU is a central hub for student life and events on campus, equipped with advanced facilities and technology to support a wide range of activities from small meetings to large institutional ceremonies. ETAMU is currently seeking an Event Services Production Coordinator to provide advanced technical and operational leadership within the Rayburn Student Center. This staff-level position in Commerce, Texas requires a dedicated professional to serve as the primary on-site production lead for assigned events, overseeing audio-visual systems, lighting, staging, room configurations, and technical logistics for both campus and external clients.
The Event Services Production Coordinator plays a pivotal role in ensuring that all events are executed safely, efficiently, and in strict alignment with approved event plans, university policies, and client expectations. Collaborating closely with the Associate Director of Event Services, Building Operations, Audio-Visual Technology leadership, and campus partners, this role supervises student event technicians and maintains production equipment to support the delivery of seamless event experiences. Key responsibilities include managing technical setups, troubleshooting in real-time during events, coordinating advanced production planning for ceremonies, lectures, and institutional programs, and fostering a professional, student-centered environment.
This position demands a strong understanding of sound and lighting system design and operation, proficiency in room diagramming software and event management systems, and excellent organizational and communication skills. The Coordinator is also responsible for upholding safety standards including compliance with fire codes and ADA requirements, managing inventory, and promoting safe equipment handling. Experience in higher education event production is preferred, and the role may involve supervising student workers and graduate assistants. The work schedule includes evenings, weekends, and irregular hours as required by event demands.

Job Requirements
- Bachelor's degree in a related field or equivalent education and experience
- Minimum of two years of experience in event production, audio-visual operations, or technical event management
- Working knowledge of sound and lighting system design and operation
- Intermediate proficiency in Microsoft Office Suite
- Strong organizational, critical thinking, and problem-solving skills
- Excellent written and verbal communication
- Customer service orientation with ability to manage high-pressure situations
- Ability to manage multiple priorities in a fast-paced environment
- Ability to exercise professional judgment during live event troubleshooting
- Ability to lift moderately heavy objects and operate event equipment safely
- Ability to work evenings, weekends, and irregular hours as scheduled
Job Qualifications
- Bachelor's degree in a related field or equivalent combination of education and professional experience
- Minimum of two years of experience in event production, audio-visual operations, or technical event management
- Working knowledge of sound system and lighting system design and operation
- Intermediate proficiency in Microsoft Office Suite

Job Duties
- Serve as the primary on-site production lead for assigned events, overseeing load-in, setup, execution, strike, and post-event reset
- Interpret event specifications from EMS and ensure accurate implementation of all logistical and technical requirements
- Support advanced production planning for commencement, lectures, ceremonies, conferences, and institutional programs
- Conduct pre-event walkthroughs to confirm readiness, equipment functionality, and safety compliance
- Meet with clients to determine event goals, staging needs, sound reinforcement, lighting, livestreaming, and specialty equipment requirements
- Translate client needs into detailed production plans and technical layouts
- Provide consultation on best practices for event flow, audience engagement, and technical feasibility
- Coordinate operation and maintenance of 70-volt distributed sound systems and high-energy multi-path systems
- Oversee lighting systems including DMX-512, analog, and Multi-Plex platforms
- Ensure proper configuration of microphones, projection systems, digital presentation interfaces, and livestream platforms
- Troubleshoot real-time technical issues with sound judgment and professionalism
- Supervise part-time student event technicians, providing leadership, delegation, and quality control
- Assist in recruitment, onboarding, and technical training of student staff
- Develop structured training modules in sound systems, lighting boards, digital presentations, and stage management
- Foster professionalism, accountability, and skill development within the student team
- Develop and modify detailed room diagrams using approved diagramming software
- Maintain accurate production notes and documentation within EMS
- Coordinate with operations and custodial staff to align room turnover and technical installations
- Ensure all production activities comply with university safety standards, fire codes, and ADA requirements
- Assist in emergency response procedures including event shutdown and evacuation coordination
- Promote safe equipment handling and power distribution practices
- Maintain inventory of microphones, cables, lighting instruments, staging, and specialty equipment
- Track equipment usage, identify wear or malfunction, and coordinate preventative maintenance
- Document labor hours and equipment usage to support billing and financial tracking
- Participate in team meetings and contribute to workflow and service improvements
- Collaborate with campus partners to enhance event quality and operational sustainability
- Perform additional duties as assigned in support of departmental goals and university priorities
