The Event Services Manager role is a pivotal position within the Facilities Services Department, situated in the Facilities Operations Branch. The manager serves as the primary liaison for campus event planners, student organizations, and select external clients, coordinating comprehensive Facilities Services support for a diverse range of events such as meetings, conferences, camps, and high-profile university functions. This role demands strong communication, meticulous planning, and collaborative execution to ensure events comply with university policies and meet quality standards.
The Event Services Manager oversees the Facilities Event Services Team, responsible for event setup, teardown, rentals, and equipment management. The manager coordinates efforts across various Facilities Services shops, including Building Services, Landscape and Grounds, Recycling, Plumbing and HVAC, Electrical, and Maintenance and Repair. Collaboration is essential to successfully deliver event-related services addressing room setup, cleaning, signage, electrical needs, waste management, and other logistical requirements.
Additionally, this manager acts as the lead contact for significant campus events hosted by leadership offices such as the Chancellor's Office, Office of the Provost, Athletics Department, and UT Conferences. The role includes organizing internal Facilities Services events such as employee appreciation activities and retirement receptions, with responsibilities encompassing vendor coordination, budget management, policy development, and committee leadership.

Job Duties
- Serve as primary contact for campus event planners, student organizations, and occasional external clients
- Coordinate Facilities Services support for events, meetings, conferences, and camps
- Review and respond to event support requests via multiple communication platforms
- Determine required Facilities Services support including rentals, setup, custodial, grounds, electrical, sound, and water access
- Meet with event organizers and campus partners to ensure clear communication and successful event execution
- Act as lead Facilities Services contact for high-profile and large-scale events
- Communicate event impacts related to emergencies, maintenance, closures, and weather
- Supervise the Facilities Event Services Team including scheduling, staffing, task coordination, and performance evaluations
- Oversee team activities related to moving, delivery, setup, teardown, and event equipment support
- Collaborate with Facilities Services supervisors and staff to coordinate event services
- Plan and execute internal Facilities Services events
- Manage event logistics, vendor coordination, supplier negotiations, and budget adherence
- Establish event committees and assign responsibilities
- Partner with Communications Manager on internal event communications
- Process purchase documentation using accounting software
- Develop and update Facilities Services event-related policies
- Coordinate with Campus Event Services and building representatives regarding space and procedures
- Work with Facilities Services shops to determine service pricing and communicate options
- Provide training and consultation to campus event organizers
- Coordinate building unlock schedules for after-hours events
