Embassy Suites Louisville Downtown Hotels is currently seeking a dedicated Event Service Manager to join their award-winning team. This role is integral in the planning and execution of successful meetings, conventions, and special events hosted at the hotel. The Event Service Manager acts as a key liaison between guests, meeting planners, and internal hotel departments to ensure that every event meets and exceeds contract expectations. This role demands keen attention to detail, excellent communication, and superior organizational skills to coordinate logistics, manage customer relationships, and supervise event activities from inception through post-event evaluation. The candidate will work closely with the Sales Department to maximize business opportunities and provide an exceptional customer service experience aligned with the core values of AJS Hotels, the management group associated with Embassy Suites Louisville Downtown.

The Event Service Manager is responsible for the overall supervision of events, including conducting planning meetings, site inspections, and ensuring compliance with hotel safety and operational procedures. This position involves detailed coordination of event logistics such as transportation, room blocks, menu planning, equipment needs, payment processing, and VIP services. Additionally, the Event Service Manager prepares essential documentation like Banquet Event Orders (BEOs) and communicates effectively across departments, ensuring seamless execution of events and maintaining a high standard of client satisfaction measured through event surveys. The role requires working in a fast-paced, dynamic environment, often managing multiple projects simultaneously, and demands flexibility in working hours including nights, weekends, and holidays.

This position operates within a 4-star hotel environment and utilizes standard office technologies along with specialized sales and catering software. Physical responsibilities include standing, walking, conducting site visits, and some moderate to heavy lifting during event setup and breakdown. Job Requirements

  • 2-4 years of management experience required
  • previous experience in convention services preferably in a convention hotel
  • excellent computer skills including Daylight Sales/Catering software system experience
  • excellent written and verbal communication skills
  • ability to multitask in a fast-paced environment
  • ability to resolve problems with internal and external customers
  • ability to stand and walk for prolonged periods
  • ability to lift and carry moderate to heavy items
  • flexibility to work nights, weekends and holidays

Job Qualifications

Job Duties

  • Lead the safety effort by personal example
  • support full hotel compliance with safety rules to further goal of zero accidents
  • adhere to SOPs and work procedures to assure guest satisfaction
  • report all injuries immediately to supervisor or manager
  • maximize business to exceed budget expectations
  • plan, implement and oversee assigned conventions including conflict resolution
  • manage customer relationships from sales turnover through post event
  • supervise contracted group room blocks
  • enforce program deadline dates
  • conduct planning meetings and site inspections per guidelines
  • assure client satisfaction through event implementation
  • work with Group Sales Manager to detail service confirmed group business
  • conduct BEO and Resume meetings weekly
  • disseminate BEOs 30 days before events
  • coordinate all logistical details for definite groups
  • produce required documents like BEOs and Resumes timely
  • record communication in Delphi and prepare post-convention reports
  • collaborate with departments to ensure service quality
  • host definite clients including entertainment and hotel tours
  • engage in convention meetings and assess bills
  • perform other duties as assigned
