The Event Services Coordinator role is a vital position within the organization, responsible for orchestrating the full spectrum of event staffing and operational needs under the general guidance of the General Manager. This position demands a proactive and detail-oriented individual who can oversee staffing coordination for part-time event personnel, ensuring all roles are filled and confirmed monthly. The coordinator will act as a key liaison between clients, sales teams, vendors, and event staff, guaranteeing that every event runs smoothly from planning through execution. Responsibilities include coordinating outside service needs such as catering, decorators, and other vendors, managing event-related expenses, and maintaining positive public relations with all stakeholders. The position also requires the ability to respond promptly to emergencies or crowd management situations, serve in a managerial capacity as a Manager on Duty on a rotating basis, and work flexible hours including nights, weekends, and holidays as necessary.
This role requires strong supervisory skills, conflict resolution abilities, knowledge of event industry terminology, and operational procedures. Competency in handling multiple simultaneous tasks, using various software tools like Windows, Word, Excel, Outlook, and event-specific programs is essential. The successful candidate must exhibit strong communication skills, both oral and written, maintain effective relationships with clients and staff, and demonstrate judgment and initiative when working independently. Additional requirements include basic accounting knowledge, physical ability to perform light lifting and equipment operation, and a valid motor vehicle license and insurance in the State of Texas.

Job Requirements
- Bachelor's degree from accredited four-year college or university
- two to three years related experience or training in event coordination or meeting planning
- customer service experience
- demonstrate knowledge in industry terminology, facility capabilities, operational procedures, event coordination and event-related services
- demonstrate the principles and techniques of supervision, training, budgeting and other administrative duties
- handle conflict
- make common sense decisions and exercise proper action during high tension and stressful situations
- know basic accounting

- operate equipment such as light trucks, pallet jacks, forklifts or other light power driven equipment
