The Events Floor Coordinator position is a vital role within this fast-paced environment. As the key liaison between Event Managers and the event floor, the coordinator assists with the seamless execution of events, ensuring that every detail is carefully managed and that clients and visitors have a positive experience. This position is part-time and on-call, offering flexibility with hours that correspond directly to event schedules. Responsibilities include managing visitor flow, resolving any on-site challenges, coordinating food and beverage quality, and supporting event planners in the final stages of preparation. The role requires strong organizational skills, the ability to lead staff effectively, and a proactive approach to problem-solving during events.

This role reports directly to the Director and involves collaborating with various departments to maintain high standards of operation on the conference floor. The Events Floor Coordinator must be comfortable working weekends, holidays, and evenings as required by the event calendar. The position plays an integral part in maintaining safety and security during events, including crowd control and emergency procedures. With a focus on customer satisfaction, the coordinator helps to ensure that every event runs smoothly from setup through to breakdown. This position is ideal for someone with a background in event coordination or hospitality seeking a flexible yet impactful role in a lively and challenging setting.

Job Requirements

  • Any combination of training and experience equivalent to a Bachelor’s degree from an accredited college or university in Business Administration, Hospitality Management, or a related field
  • experience in coordinating a variety of events in a large cultural, convention or entertainment facility
  • knowledge of current crowd management and security practices
  • knowledge of computer software including Windows, Outlook, Excel, PowerPoint
  • knowledge of coordinating service requirements for a variety of trade, business, educational, theatrical, entertainment, industrial and recreation events
  • ability to lead and direct others effectively
  • ability to meet and work successfully with customers

Job Qualifications

  • Bachelor's degree in Business Administration, Hospitality Management, or a related field preferred
  • experience coordinating a variety of events in a large cultural, convention, or entertainment facility
  • knowledge of current crowd management and security practices
  • proficiency in computer software including Windows, Outlook, Excel, and PowerPoint
  • ability to lead and direct others effectively
  • excellent customer service skills and ability to work successfully with diverse customers

Job Duties

  • Facilitating visitor flow and implementing crowd control throughout the building during regular hours and special events
  • addressing and resolving visitor concerns and complaints and troubleshooting issues on the floor
  • ensuring quality levels of food and beverage items and maintaining quality standards in production, services, facilities, and client satisfaction
  • meeting with event planners to review event details, food orders, event agenda, decoration details, rentals, staffing, and other needs to ensure successful events
  • responsible for daily operations of the conference floor including supporting and guiding staff to ensure successful and effective operation
  • helping control and direct visitors during emergencies or evacuations
  • performing a variety of administrative tasks and other duties as assigned by the Director
  • routinely working weekends, holidays, and frequent evenings
