The Event Services Coordinator role within the Department of Conferencing and Events is a critical position that supports the university’s diverse event needs. This full-time, staff-level position is based in Stephenville, Texas, with work hours generally scheduled from Monday to Friday, 8 AM to 5 PM, though flexibility is required during peak event seasons with potential evening, weekend, and holiday duties. The role serves as a Campus Security Authority (CSA) and involves travel to multiple campus locations.
In this position, the coordinator is responsible for central coordination of a variety of events ranging from small campus gatherings to large-scale occasions. Key duties include managing pre- and post-event setups, coordinating audiovisual and other campus services, and acting as an onsite customer liaison. The role also involves overseeing student staff, including training, orientation, and scheduling to ensure smooth event operations. Additionally, maintaining the centralized events calendar and assisting with summer camp coordination are part of the responsibilities.
This position requires someone with exceptional problem-solving skills, the ability to manage time and multiple responsibilities efficiently, and strong organizational skills. Effective verbal and written communication abilities are essential, as is proficiency in common office applications like word processing and spreadsheets. Importantly, the coordinator must maintain confidentiality, exercise discretion, be accountable, responsible, and dependable as a part of the Campus Operations team.

Job Duties
- Provide support for events including facility set-up/tear down, A/V support, coordination of campus services, and serving as onsite customer liaison
- Schedule, process, and confirm event requests for departments, student organizations, and external users
- Coordinate other campus services for events as needed
- Oversee student staff including conducting orientation and training, scheduling daily tasks/duties, and supervising during events
- Maintain and coordinate centralized events calendar
- Assist with the coordination of summer camps
- Perform other duties as assigned, including serving satellite campuses
