The Event Sales Coordinator role at Legends Global is focused on supporting the logistics and execution of private events. This position is vital for the seamless coordination between sales, operations, catering, and client services to ensure exceptional event delivery. The role involves organizing and maintaining crucial documentation such as sales playbooks, event contracts, waiver forms, and vendor agreements. The coordinator plays an important role in managing sales and catering financial tracking, including payment processing and revenue tracking to uphold the company’s standards of excellence.
Reporting to the Sales and Special Events Sales Team, the Event Sales Coordinator maintains operational efficiency by ensuring that sales protocols are current, inventory for legal documents is well-managed, and all event-specific paperwork is properly verified and filed. They assist with the follow-through on post-event payment processes to support accurate financial reconciliation. Additionally, they help maintain detailed booking records and key performance indicators related to private events. They also provide onsite support during events to facilitate smooth execution.
In addition to sales support, this coordinator works closely with the catering team to manage client decisions on menu packages, oversee payment follow-ups, and maintain food and beverage options within the Momentus booking system. They establish and administer event timelines and manage catering transaction processes effectively. This coordination ensures that catering services are aligned with client expectations and event requirements.
Legends Global offers a competitive salary of up to $63,000 plus commission for this position, reflective of experience, alongside a comprehensive benefits package. The role is based onsite at the New Highmark Stadium in Buffalo, NY and requires flexibility to work extended hours, including late nights, weekends, holidays, and major stadium events.
Physical demands of the role involve the ability to stand or walk for extended periods during shifts and navigate ramps, stairs, and elevators. The position also requires the capability to lift, push, or pull items weighing approximately 25 pounds and the mobility to perform routine tasks involving reaching, bending, stooping, pushing, and pulling. Job Requirements
- bachelor's degree in a related field preferred
- 1-2 years of relevant group sales experience preferred
- excellent communication skills both verbal and written
- proficiency in microsoft office and adobe software
- ability to manage multiple detailed projects simultaneously
- ability to learn quickly and meet deadlines
- ability to work well with diverse personalities
- food and beverage experience preferred
- entrepreneurial and energetic personality
- proficiency in CRM software like archtics

- working knowledge of venue operations and event industry

Job Qualifications
- bachelor's degree in a related area of study preferred
- 1-2 years related experience in groups sales preferably in sports, attractions, or hotel industry
- excellent interpersonal, verbal and written communication skills
- proficiency in microsoft office and adobe
- able to simultaneously manage a high level of detail across multiple projects
- quick learner with ability to handle multiple projects and meet deadlines
- ability to work well with different personalities

Job Duties
- maintain sales playbook including up-to-date SOPs
- maintain inventory for waiver/legal documentation including vendor agreements and certificates of insurance
- write, file, and verify private event contracts and documentation
- process special events turnover including momentus requests and seated floorplans
- assist in payment processing and post-event payments
- maintain monthly revenue and booking trackers and KPI recaps for private events
- maintain weekly financial tracker and missing payments reports
- maintain sales events record keeping
- provide on-site support for sales and special events
- work closely with clients on catering package decisions
- maintain proper follow-up on payment from clients
