We are currently seeking an enthusiastic and dedicated Sales Coordinator to join our team. The Sales Coordinator will play a vital role in ensuring guests receive exceptional service from their initial inquiry through to the event's completion. This is a full-time position focused on managing event bookings, upselling services, and detailing events to assure complete guest satisfaction and optimize revenue growth. The role involves close collaboration with various internal departments to coordinate seamless event execution. Key responsibilities include managing event planning for a broad range of occasions such as children’s and teen parties, bachelor parties, and corporate outings. The successful candidate will be responsible for client consultations to customize events that meet specific needs, facilitating site tours, and preparing accurate event documentation such as Banquet Event Orders (BEOs). Additionally, this position demands strong communication skills to build lasting relationships with guests, ensuring their concerns are addressed and fostering repeat business.
This role also requires meticulous financial management, including maintaining up-to-date records and timely payment collection. An essential part of the job is to identify upselling opportunities to maximize bookings and contribute to the company’s revenue growth. Another exciting aspect of this position is community engagement where the coordinator assists in off-site events to promote Apex Entertainment and attract new business opportunities. Administrative tasks such as answering guest inquiries through multiple channels, adjusting reservations, filing invoices, and supporting the Sales Manager are integral functions that support daily operations.
The ideal candidate will have a High School Diploma or GED equivalent, with an Associate or Bachelor’s Degree preferred. Relevant experience of 1-2 years in sales, event booking, and food and beverage or hospitality settings is highly desirable. Candidates must exhibit strong interpersonal abilities, proficiency in MS Office applications, and an aptitude for managing numerical information such as pricing and discounts. Attention to detail, time management skills, and an excellent professional demeanor reflecting our commitment to exceptional service are crucial. Job Requirements
- High school diploma or GED equivalent
- Associate or Bachelor’s Degree preferred

Job Duties
- Manage the planning and detailing of various events including children’s birthday parties, teen parties, bachelor parties, and corporate outings
- Work with guests from initial inquiry to detailed planning ensuring clear communication and follow-up
- Provide guests with comprehensive information about services and help customize events
- Schedule and facilitate site tours showcasing the venue
- Quote prices accurately and prepare Banquet Event Orders (BEOs)
- Review all terms and conditions with guests ensuring understanding and agreement
- Routinely check in with guests about their upcoming events addressing concerns
- Build strong relationships with guests to foster repeat business and attract new clients
- Ensure up-to-date financial records and timely collection of payments
- Identify opportunities for upselling and maximizing event bookings
- Assist in off-site street team events to foster community relationships
- Maintain clear communication with all departments and attend BEO meetings
- Collaborate with department managers to ensure seamless event execution
- Answer guest questions via phone, web chats, and emails promptly
