The Event Sales Coordinator position plays a crucial role within this esteemed company by assisting in the planning and coordination of event sales at the club. This role is instrumental in enhancing the experience of members and guests by ensuring seamless event management from the initial inquiry through to the final execution. Reporting directly to the Event Sales Director, the Coordinator works closely with the Event Sales Manager to manage event details meticulously, facilitate smooth communication between the sales team, clients, and internal departments, and provide comprehensive administrative support. This position requires strong organizational skills, attention to detail, and the ability to manage client records accurately while supporting the achievement of annual event sales goals through prospecting efforts and client interactions.

As an integral part of the team at Invited, the Event Sales Coordinator serves as the primary point of contact for clients during the event planning process. They ensure that client needs and preferences are clearly documented and communicated, supporting the creation and distribution of event proposals, contracts, event orders, floor plans, and diagrams. The role also involves maintaining an up-to-date client database, assisting with financial tracking in coordination with the accounting team, managing event supplies and inventory, and coordinating with kitchen and service teams to guarantee that event details are executed as planned. The Coordinator participates actively in sales and event meetings, providing status updates and supporting general administrative functions.

This position is ideal for individuals with a minimum of one year of experience in a customer-facing or sales support role within the hospitality or events industry. While a high school diploma or equivalent is required, college coursework in hospitality, marketing, or related fields is preferred. Candidates with a basic understanding of marketing and prospecting strategies, proficiency in Microsoft Office and event management software, strong communication skills, and the ability to collaborate effectively within a team environment will find this role rewarding. Physical requirements include the ability to stand, walk, and perform various physical activities for extended periods, with occasional lifting of up to 25 pounds.

Job Requirements

  • High school diploma or equivalent
  • Minimum one year of experience in customer-facing or sales support role in hospitality or events industry
  • Ability to stand walk and perform physical activities for extended periods
  • Ability to work in varying temperatures and environments with potential exposure to dust fumes or gases
  • Capability to climb ladders squat kneel reach grasp twist bend and fold/unfold as required
  • Able to lift carry push and pull up to 25 lbs occasionally
  • Effective communication skills including talking and hearing with sufficient visual acuity
