The role of Event Sales Coordinator is an integral position within the restaurant's event sales team, primarily focused on supporting the Event Sales Manager in coordinating and executing private dining and large party events. This full-time position requires a dynamic individual capable of managing initial sales leads, coordinating booking documents, and closing event sales with precision and efficiency. The Event Sales Coordinator serves as the first point of contact for potential clients, handling inquiries through the TripleSeat event booking software and telephone communications. Besides maintaining accurate records and organizing essential event documents, the coordinator plays a crucial role in gathering banquet event orders (BEOs) for weekly manager meetings and creating detailed floor charts to facilitate smooth event operations.
This role also extends beyond the restaurant premises, as the Event Sales Coordinator is expected to nurture and maintain business relationships by participating in offsite store-sponsored events, especially when the Event Sales Manager is unavailable. Strong organizational skills, meticulous attention to detail, and excellent communication abilities are vital to success in this position. Job Duties
- Close event financials from the previous days/weekend
- Ensure the accuracy of all booking documents and place in events binder
- Send follow up emails to guests to get feedback and promote future bookings
- Triple Seat events in OpenTable to ensure continuity
- Send follow up emails and calls to guests who have not finalized booking or are missing essential booking documents and details
- Gather BEO and menus for weekly operations team meeting for the booking of all parties under 20 in the main dining room
- Responsible for the initial response of all leads that comes through on TS
- Assist in site tours when sales manager is not available
- Assist in event bookings of larger parties when event sales manager is not available
