The Event Sales Coordinator position at Invited is a pivotal role within the Event Sales team, working closely with the Event Sales Manager and Director to coordinate and facilitate the planning and execution of event sales. The role focuses on enhancing the member and guest experience by managing event details, maintaining effective communication with clients and internal departments, and supporting the achievement of the club's event sales objectives. This position requires meticulous attention to detail, excellent organizational skills, and the ability to multitask in a fast-paced environment.
As an Event Sales Coordinator, you will be responsible for assisting in the development and management of event proposals, contracts, floor plans, and client records. Your role is essential in ensuring that all event logistics are handled seamlessly from initial inquiries to the successful delivery of each event. Coordination with various teams, including kitchen and service staff, is a key part of the responsibilities, ensuring that client needs and preferences are met with precision. You will also participate in financial tracking, vendor coordination, and provide general administrative support to the Event Sales leadership.

Job Requirements
- High school diploma or equivalent
- Minimum of 1 year experience in customer-facing or sales support role in hospitality or events industry
- Ability to stand walk and perform physical activities for extended periods
- Ability to work in varying temperatures and environments
- Capable of climbing ladders squatting kneeling reaching grasping twisting bending and folding or unfolding as required
- Able to lift carry push and pull up to 25 lbs occasionally
- Effective communication skills including talking hearing and sufficient visual acuity
Job Qualifications
- High school diploma or equivalent
- Minimum of 1 year experience in customer-facing or sales support role in hospitality or events industry
- College coursework in hospitality marketing or related field preferred
- Basic understanding of marketing and prospecting strategies preferred
- Basic understanding of Microsoft Office and event management software preferred
- Strong organizational skills and attention to detail
- Effective verbal and written communication skills
- Ability to work collaboratively within a team environment
Job Duties
- Assist the Event Sales Manager with coordination and execution of event sales including managing event details logistics and client communication
- Serve as primary point of contact for clients during event planning process ensuring all client needs and preferences are documented and communicated
- Support creation and distribution of event proposals contracts event orders floor plans and diagrams ensuring accuracy and detail
- Maintain and update client database assisting in the development of prospect inventory
- Ensure all event-related documents including contracts and payment records are properly filed and organized
- Assist with basic financial tracking such as recording deposits and payments with accounting team
- Manage event supplies and inventory coordinating with vendors as needed
- Coordinate with kitchen and service teams to ensure event details are communicated and executed
- Participate in regular sales and event meetings providing updates on event status and client interactions
- Provide general administrative support to Event Sales Manager and Director as needed
