The role of Event Sales & Venues Specialist at Spotlight Events, Inc., is a pivotal position designed for a driven and adaptable individual who thrives in a fast-paced and team-oriented environment. This hybrid role combines impactful sales initiatives with venue operations duties, ensuring company goals in both registration growth and event execution are consistently met. The position emphasizes proactive communication, strategic sales pipeline development, and meticulous venue coordination to facilitate seamless event experiences across various locations.

Key responsibilities of the Event Sales & Venues Specialist encompass engaging with dance studios and emerging markets to elevate event registrations through targeted outreach such as calls and email campaigns. The specialist will drive studio growth by expanding pipeline opportunities and nurturing enduring relationships with stakeholders. Additionally, they oversee venue sourcing, negotiations, and contract management, maintaining accurate records and collaborating with production and operations teams to guarantee logistical excellence.

Success in this role is measured by the effective management and growth of the sales pipeline, increased registration figures, and flawless operational execution of venues. The position requires strong organizational skills, high accountability, and the ability to manage multiple priorities while thriving under pressure. Experience in sales, client relations, or pipeline-driven roles is essential, complemented by competencies in communication, problem-solving, and self-direction. Familiarity with CRM software and Asana project management tools is preferred, alongside a willingness to travel regularly for events.

Physically, the role entails travel to 6-8 regional events lasting 3-5 days and 1-2 national events each year, necessitating the ability to lift up to 50 pounds and work in diverse environments such as theaters, convention centers, and hotels. Job Duties

  • Identify and prioritize markets requiring sales focus based on registration trends
  • drive outreach through calls, email campaigns, and follow-ups to generate registrations
  • develop new studio leads and market opportunities to expand pipeline
  • build and manage relationships to convert interest into committed registrations
  • execute sales and marketing initiatives that impact bookings and revenue
  • track and report on sales performance, pipeline movement, and conversion progress
  • leverage Registration Tracker insights to identify gaps and improve outcomes
  • expand revenue opportunities through social media, advertising, and partnerships
  • own the coordination and execution of venue sourcing and selection aligned with capacity and market demand
  • participate in venue negotiations while maintaining accurate contract records
  • track and manage key deadlines, including deposits, COIs, and contractual obligations
  • maintain accurate venue tracking in Asana across all events
  • own communication of venue details to Production and Operations teams
  • ensure accurate documentation and accessibility of venue information
  • coordinate venue logistics and on-site preparation to support event execution
  • compile and send weekly reports on sales activity, registration, and venue progress
  • maintain organized records for venues, studios, and communications
  • contribute to cross-functional projects and special initiatives
