Job Requirements

  • High school diploma or equivalent
  • 3-5 years of relevant experience in event planning, catering, conference services, hotel sales or entertainment industry
  • strong time management and organizational skills
  • excellent communication skills, both written and verbal
  • ability to work flexible hours including evenings, weekends and holidays
  • ability to manage multiple projects and prioritize effectively
  • physical ability to lift up to 30 pounds and stand for extended periods
  • willingness to work in a fast-paced environment with distracting conditions
  • valid identification and legal authorization to work in the United States

Job Qualifications

  • Experience with event planning, inside sales and strong time management skills
  • excellent communication skills including writing, proofreading, and speaking
  • ability to manage multiple projects and work assignments from a variety of staff
  • excellent interpersonal skills both in person and by phone with high professionalism
  • flexibility in scheduling with availability seven days a week and 24 hours event services dedication
  • bilingual Spanish preferred
  • 3-5 years of experience in catering, conference services, hotel sales, entertainment concept or theme park work experience

Job Duties

  • Manage customer inquiries and follow up within 24 hours
  • ensure customer profiles and data are accurately recorded in events software
  • plan, coordinate, and execute client site inspections and tours
  • responsible for all contract management including pricing, tracking signed contracts, securing deposits and final payments
  • prioritize and arrange all logistical aspects of large and complex conventions and events including Banquet Event Order preparation and onsite execution
  • establish and maintain relationships with outside vendors
  • plan event details and logistical aspects for a variety of event scenarios
  • manage event timeline and coordinate seamless execution on event day with internal operations team
  • generate and distribute all event contracts and information
  • collaborate with upper management to ensure proper staffing and communication of logistical event information
  • ensure overall client satisfaction and successful execution of all events
  • set up floor plans and venues according to client expectations including physically setting tables and chairs if needed
  • set up and break down venues ensuring inventory is properly stored and accounted for
  • workdays, nights and weekends as required
  • work in a fast-paced environment with distracting conditions
  • move about facility and stand for long periods
  • lift and carry up to 30 pounds
