The Inventory & Field Activation Specialist role at Florida Blue is a dynamic position within the Field & Experiential Marketing department. This role primarily involves managing systems related to inventory control, assets, and promotional materials used for community events and marketing activations. The specialist will be responsible for generating reports, analyzing data flows, maintaining accurate data entry and performing reconciliations to ensure optimal inventory management. This role also requires overseeing onsite event activations and operating activation vehicles, making travel and hands-on involvement in events a key aspect of the job.

Working at the warehouse in Doral, FL, the specialist will play a critical role in logistics support, including tracking inventory being shipped to and from events, maintaining the asset inventory platform, quality checking warehouse data, coordinating delivery and pickup schedules, and ensuring the warehouse remains organized and assets are well-maintained. The job requires vigilance in monitoring asset conditions and working closely with risk management to keep company vehicle registrations and insurance up to date.

Additionally, this role supports field activation and event execution by managing complex logistics for events, coordinating load-in and load-out procedures, staffing, and ensuring event setup runs smoothly from start to finish. The specialist will collaborate with various internal stakeholders including staffing specialists, project managers, and marketing teams to ensure successful event activations and compliance with budget plans. They will also be responsible for post-event report preparation and resolving any production issues that arise onsite.

This position demands a high level of organization, analytical skills, and the ability to perform under physically demanding conditions, including heavy lifting and outdoor work. Candidates must reside within a 45-minute drive of the Doral warehouse and possess a valid state driver’s license due to the frequent travel involved. Job Duties

  • assist with the identification and maintenance of assets for events
  • load, ship and track inventory going out and coming back from events
  • manage asset inventory platform ensuring items are properly checked out and returned
  • quality inspect information entered into warehouse inventory webstores
  • communicate and coordinate with team based on daily/weekly needs of deliveries and pick-ups
  • provide direct oversight and coordination of processing and fulfilment associated with inventory and asset services
  • work with internal departments to ensure creation and shipment of all necessary marketing materials
  • track and reconcile shipment and asset charge backs to correct cost center
  • maintain warehouse organization including cleanliness, counts and order
  • monitor conditions and notify asset owner when items need repair or replacement
  • ensure company vehicles are up to date on registration and insurance
  • field intake requests in Adobe Workfront and route as needed
  • manage and maintain vehicle and statewide asset calendar
  • ensure all display assets shipped out for events are returned
  • manage inventory request, processing and fulfilment within 3-5 business days
  • manage inventory webstore for multiple locations and client assets
  • manage inventory request email inbox
  • operate forklift when needed for shipments
  • accountable for production of field marketing large scale activations
  • support recruitment and on-site training of brand ambassadors
  • assist project manager on event production and reconciliation
  • ensure event inventory tracking, load in/out, and smooth execution
  • coordinate logistics for load-in and load-out of events including transportation and labor support
  • ensure all event assets and supplies function properly before event start
  • perform walkthrough with event lead
  • communicate with field marketing team to confirm space requirements and offer layout recommendations
  • troubleshoot onsite production issues
  • prepare post-event reports
  • support production of large scale events from inception to execution
  • manage and report event expenses to stay within budget
  • assist with project plan development and management
  • hold stakeholders accountable for deadlines
