The Event Services Manager will supervise staff and manage key operations related to venue events, facilitating all aspects from initial client meetings to final billing and event wrap-up. This role requires a thorough understanding of facility management principles as well as technical knowledge related to theaters and arenas. Key responsibilities include assisting in staffing processes such as hiring and training event services personnel, planning event logistics, coordinating with vendors and contractors, and acting as the primary liaison between clients and various facility departments. The manager ensures smooth operational workflows by communicating detailed requirements clearly and keeping meticulous records of all event activities. Among the priorities is maintaining a positive public image and generating strong client relationships by promptly addressing concerns and solving problems effectively.

This full-time position usually involves working irregular hours tailored to event schedules, which may include evenings, weekends, and holidays. Candidates who bring technical proficiency, including experience with AutoCAD design software and Microsoft Office applications, will be highly valued. The ideal applicant holds at least a bachelor’s degree and possesses 2-4 years of relevant experience in public facility or event management, with theater experience being particularly advantageous. Job Requirements

  • Bachelor's degree preferred
  • 2-4 years of public facility management experience required
  • Theater experience preferred

Job Qualifications

Job Duties

  • Supervises staff and oversees all aspects of facility operations related to events
  • Assist in hiring, training and supervising event services staff
  • Meets with client groups to plan and organize assigned meetings and/or events
  • Coordinates activities with service contractors for assigned meetings and/or events
  • Guides clients by interpreting and explaining contract provisions, policies and procedures
  • Keeps clients informed about deadlines, floor plans, meeting room specifications, insurance requirements and other event details
  • Prepares cost estimates and monitors final billing
  • Provides timely communication of detailed requirements to operational departments and clients
  • Maintains thorough and complete event records
  • Monitors and supervises facility set-up when necessary
  • Serves as primary liaison between clients and facility departments
  • Monitors in-house events maintaining close contact with clients and facility staff
  • Maintains proper image and generates positive public relations with patrons and staff
  • Follows up on all client requests, concerns and problems
  • Attends planning, organization and other event and facility meetings
  • Works with relevant departments and vendors to provide prompt invoicing
  • Develops policies and procedures for event services and monitors compliance
  • Performs other duties as assigned
  • Possess technical knowledge and skills pertaining to theatres and arenas
  • Serves as resource for training event coordinators on administrative and event day procedures
  • Directly supervises event and operations staff when required
  • Carries out supervisory responsibilities in accordance with policies and laws
  • Plans, assigns and directs work
  • Addresses complaints and resolves problems
