Job Description

This position is offered by a prominent organization specializing in leadership development and corporate training solutions, providing best-in-class educational programs and event management services to clients worldwide. This role is hybrid, based out of either Greensboro, North Carolina, or Colorado Springs, Colorado, offering a competitive hourly pay range between $19.00 and $23.00, commensurate with the candidate's experience and qualifications. The role itself is critical to the execution and delivery of high-quality events, both in-person and virtually. The Event Producer coordinates comprehensive logistics, ensuring all necessary materials — including printed documents, assessments, and equipment — are prepared accurately and on schedule. This position involves managing detailed classroom layouts, breakout room setups, transportation, meals, and technology requirements, including advanced AV systems and virtual meeting platforms such as Zoom and WebEx. The producer acts as a vital liaison between the delivery team and participants, maintaining clear and timely communication, troubleshooting technical issues, and facilitating smooth session flows to enhance learner engagement and facilitator efficiency. This role demands exceptional organizational and multitasking skills, depth of technical knowledge in virtual meeting technologies, and the agility to address and resolve delivery challenges promptly. The producer also plays a key role in analyzing participant data to organize feedback assignments, manage interactive tools like polls and whiteboards during sessions, and ensure process compliance from planning phases through event closure. Moreover, the position requires readiness to support facilitators and teams in real-time, including handling participants’ technical difficulties behind the scenes and stepping in when facilitators face unexpected disruptions. The successful candidate will contribute to continuous improvement by documenting quality issues, managing evaluation processes, and supporting post-event debriefings to close out outstanding matters efficiently. This specialist is expected to uphold a high standard of client focus, demonstrating professionalism, anticipation of client needs, and sustained engagement to ensure superior client satisfaction throughout all event phases. A blend of digital proficiency, process discipline, and virtual leadership abilities is crucial for thriving in this dynamic environment. Travel of up to 50% may be necessary, primarily within company locations or specific client venues for face-to-face productions. Job Requirements

  • Bachelor’s degree or equivalent work experience
  • Experience managing virtual meetings and training sessions
  • Proficiency with Microsoft Office suite and virtual meeting platforms
  • Strong organizational and multitasking skills

  • Up to 50% travel availability primarily to company locations and client sites

Job Qualifications

  • Bachelor’s degree or relevant work experience managing virtual meetings or technical background
  • Strong skills in Microsoft Word, Excel, PowerPoint, and MS Teams
  • Exceptionally strong technical skills with virtual meeting platforms such as Zoom, WebEx, Microsoft Skype for Business
  • Excellent communication and interpersonal skills
  • Proven ability to manage multiple tasks and coordinate logistics effectively
  • Ability to analyze participant data and perform feedback assignments
  • Proficient in using interactive tools and learning platforms
  • Demonstrated client focus and process discipline
  • Ability to work both independently and collaboratively under pressure

Job Duties

  • Work with other key groups to produce needed event materials and supplies including printed materials, assessments, publications, and inventoried items
  • Coordinate on and off-site event logistics including classroom design and setup, breakout rooms, experiential space, transportation and meals, set up and break down of meeting rooms, AV equipment and other required technology
  • Serve as logistical liaison for participants and the delivery team
  • Communicate regularly with the event delivery team to ensure clarity of status and to highlight potential issues or mitigation strategies
  • Analyze participant data to make feedback assignments and determine participant groupings based on event criteria
  • Partner with the event delivery team to make decisions during event preparation and delivery
  • Serve as principal day-to-day contact for the delivery team ensuring timely preparation and delivery of high-quality event materials
  • Schedule rehearsals for Live Online events, manage virtual session setup and participant technical issues
  • Manage interactive session tools including polls, whiteboards, and third-party tools
  • Facilitate event closure including end-of-event debrief, evaluation completion, classroom breakdown, inventory return, and documentation of quality issues
  • Support facilitators during sessions providing technical assistance as needed
