The role of Event Planner at CBRE is an integral position designed to enhance tenant engagement and experience within office and retail properties. The Event Planner acts as a programming lead and concierge, managing amenity spaces and driving activation through the Activate app, tenant lunch and learns, programming, and other engagement initiatives. This position focuses on ensuring quality events and support through hands-on personalized service tailored to tenants' needs, thereby fostering a vibrant and engaged tenant community.
The Event Planner’s responsibilities include managing all aspects of amenity spaces and tenant experience programming, from contract booking through to execution. Key duties include coordinating and leading the activities of a team, establishing work schedules, mentoring staff, and ensuring adherence to CBRE’s RISE hospitality standards – Respect, Integrity, Service, and Excellence. The role involves building and maintaining trusted client relationships, negotiating with various stakeholders to resolve conflicts, and developing vendor partnerships aimed at cost-saving opportunities.
The position also requires oversight of third-party vendor programs, such as food delivery, transportation coordination, event organizing, and mail distribution, ensuring all business service invoices are properly billed. The Event Planner drives retail activation and community event coordination, including signage, vendor contract processing, and communication notices. They will stay informed of best practices to elevate the quality and diversity of events and identify potential pop-up programs that boost community engagement and support tenants.
Managing a master calendar of property event programming is essential, balancing owner-sponsored activities, community events, pop-ups, and tenant-related functions. Providing a forward-looking 12-month event calendar to owners is an important planning tool presented biannually. The Event Planner also supports the maintenance of the building’s mobile app, aligning content and programming with client brand visions, communicating perks and supporting leasing tours.
Gathering feedback and providing analytics on program performance indicators form a core part of the role, culminating in monthly owner-approved reports that detail event attendance, amenity usage, community engagement, branding efforts, and other relevant metrics. Budget adherence is critical, with responsibilities including supply management and invoice approvals related to amenity purchases.
This role requires flexibility, including after-hours event oversight and occasional physical labor to set up or break down events or configure conference rooms alongside property staff. The Event Planner should display strong organizational skills, an inquisitive mindset, and proficient knowledge of Microsoft Office applications. A bachelor’s degree is preferred, but equivalent experience and education combinations will be considered.
