The role available is that of an Event Planner on a contract basis, focusing on the complete planning and execution of an internal leadership development conference scheduled for May. This is a critical position where the selected professional will handle all aspects of the event lifecycle, from initial logistics and vendor coordination to final onsite execution and post-event follow-up. With an expected attendance of up to 200 participants, the event will be held in Irving, TX, requiring the contractor to be physically present for site visits, coordination with vendors, and smooth operation on event days.

The contract Event Planner will be responsible for managing multiple workstreams simultaneously, demonstrating exceptional organizational abilities and a proactive approach. The position demands a high level of independence, as it requires the ability to work with minimal oversight while interacting confidently with senior leaders and internal stakeholders. Key duties include venue management, catering coordination, audiovisual setup, transportation logistics, registration control, and content support - including agenda design and stage management. The role also involves vendor negotiation, budget tracking, troubleshooting during the event, and ensuring a seamless and professional attendee experience.

Job Duties

  • Lead full planning lifecycle for a multi-day internal leadership development event
  • Coordinate venue management, room layouts, AV needs, catering, décor, print materials, and transportation
  • Manage registration processes, attendee communications, and special accommodations
  • Conduct walkthroughs, vendor meetings, and coordination sessions onsite in Irving, TX
  • Partner with internal stakeholders to shape agenda flow and session experience design
  • Support creation of graphic design elements for event assets
  • Build run-of-show materials, scripts, speaker briefings, and stage management plans
  • Coordinate presentation materials and oversee AV tech checks
  • Source, negotiate, and manage vendors
  • Estimate, track, and reconcile budgets in partnership with internal leads
  • Ensure all deliverables meet timelines, quality standards, and brand expectations
  • Serve as the event’s onsite lead, managing setup, registration, transitions, and vendor oversight
  • Troubleshoot issues in real time to ensure a seamless attendee experience
  • Manage event timing, production cues, and speaker flow
  • Support survey distribution, feedback consolidation, and lessons learned
  • Provide final budget reconciliation and close-out documentation
