Job Requirements

  • College degree or equivalent experience in related business
  • Meeting planning experience
  • Demonstrated computer proficiency with Microsoft Office, Adobe, and database management
  • Certified Meeting Professional (CMP) designation is desirable
  • Insurance company or agent experience is desirable
  • Professional demeanor reflective of organizational values
  • Availability for occasional overnight travel by car and air
  • Ability to pass criminal background and motor vehicle record checks

Job Duties

  • Manages all meeting planning details, including speaker research, logistical coordination, preparation of meeting specifications and hotel room lists, event budgeting and reconciliation, hotel selection and contract negotiations
  • Participates in and coordinates arrangements for committee meetings in support of meeting planning development
  • Works directly with member company committee representatives or programming leaders to determine presentation topics and secure speakers
  • Interacts with clients, client staff, vendors, and NAMIC staff as directed
  • Serves as liaison to hotel and meeting facilities for respective events
  • Develops, executes, and evaluates marketing efforts for assigned conference events, including writing marketing copy and coordinating mailings
  • Assists with budget management, maintaining worksheets and quarterly reports to Conference Boards
  • Prepares quarterly reports for Conference Boards
  • Provides customer service support via telephone and email
  • Supports event operations, including office procedures and maintaining work areas
