Job Requirements

  • Must live in the Denver, CO area
  • Minimum two years of event planning experience
  • Proficiency in Microsoft Office
  • Experience with registration software
  • Ability to travel approximately 10 percent
  • Ability to manage heavy correspondence
  • Must meet deadlines and work within budgets
  • Ability to perform in a fast-paced, evolving environment
  • Ability to collaborate in a team setting

Job Qualifications

  • Bachelor's degree preferred
  • Minimum two years of event planning or coordination experience
  • Hotel experience preferred
  • Proficient in Microsoft Office suite including Word, Excel, PowerPoint, and Outlook
  • Experience with event registration software required, Cvent experience preferred
  • Ability to work within deadlines and budgets
  • Certified Meeting Professional accreditation is a plus but not required
  • Ability to handle a fast-paced, continuously evolving work environment
  • Excellent communication, negotiation, and project management skills

Job Duties

  • Plan and coordinate corporate meetings and events from start to finish
  • Manage online registration sites and communications using Cvent
  • Oversee the RFP process and negotiate contracts with hotels, conference centers, and vendors
  • Handle event logistics including rooming lists, food and beverage orders, audio-visual needs, schedules, presenter coordination, transportation, and event materials shipping
  • Develop project plans for individual event areas with minimal supervision
  • Respond promptly to attendee inquiries and requests
  • Collaborate effectively with senior management and stakeholders
  • Provide on-site event execution ensuring an excellent attendee experience
  • Perform post-event activities such as reporting, reconciliation, communication, survey collection, invoice review, and recommending improvements
  • Support internal teams with small meeting logistics and vendor selection
